We’re looking for…

A passionate Office Manager / Executive Assistant to join our team. You’ll be the face of the Rue Gilt Groupe NY Office and the glue to connect all NY RGG associates!  You’ll be our go-to person for executive support, company events, administrative duties and office & facilities management. 


What you’ll accomplish…

  • Provide executive support to the Chief Merchandising Officer including heavy calendar management, book travel arrangements, coordinate meetings, prepare presentations and  participate in key projects
  • Manage all NY RGG conference rooms via Outlook; resolve meeting room conflicts
  • Scheduling maintenance and upkeep of office furniture, appliances, building and equipment
  • Work with building management and maintenance to ensure office safety and communicate information to associates
  • Order and manage all catering, office and kitchen supply orders
  • Plan internal office events and act as office culture lead; lead and manage relationships related to employee engagement for Boston/NY offices including on-site manicures, massages, surprise and delight events
  • Assist with new hire orientation: assemble company swag & orientation folders for their first day
  • Greet, announce, and direct visitors appropriately
  • Ensure the office is organized and welcoming to visitors at all times
  • Assist with invoice reconciliation, track internal facilities-related requests
  • Sort incoming daily mail and announce package arrivals

You have…

  • 2-4 years of experience as an Office Administrator, Office Manager and/or Executive Assistant
  • Ability to problem solve and troubleshoot issues independently
  • A positive attitude and the desire to collaborate across teams
  • The passion to work in a fast pace and own multi-functional pieces (office/facilities management, administrative/executive duties) in this very highly visible role
  • Proven experience working with various levels of associates
  • Interest in being involved in the organization’s culture and planning fun events
  • Excellent verbal and written communication skills
  • Excellent communication skills with customers, co-workers and management
  • Punctual, regular and consistent attendance, ability to work overtime as needed
  • Self-motivated and personable with the ability to work autonomously and lead project with minimal supervision
  • Proficient Microsoft Office Suite skills
