Office Manager

RIXO is looking for its first Office Manager.  We’re growing quickly, and now need an organised and energetic person to be the go-to for any office needs and provide support to the founders and executive team. You’ll be responsible for organising and overseeing all administrative activities that ensure the smooth running of our London office, in order to give everyone at RIXO the most productive, innovative and engaging workplace possible. You’ll also be happy to support other functions – such as People – to make sure that RIXO is one of the very best places to work in London.     Our ideal person will greet every challenge with enthusiasm, share your natural ability to juggle multiple projects, be the calm amongst the storm and be very proactive: you’ll often already have anticipated the task in hand and be on top of it before you’ve been asked.

What you’ll do:

Office & Facilities Management

  • Be the first point of contact and the face of RIXO for employees and any guests; manage incoming phone calls and correspondence
  • Keep our house in order – we would need you to keep our plants well-watered, keep our stationery cupboard topped up and keep our employees safe and sound
  • Liaise with building management and vendors on all office related issues
  • Manage the office; upkeep, kitchens, meeting rooms, catering, etc
  • Take the lead on any office moves: we are a growing team and anticipate needing to find a new home in the next 12-18 months
  • Work with our external IT support company to ensure we all have the right tools to do our job
  • Logistics support across our other locations, including warehouse and pop-up shops

Executive Team Support

  • Provide calendar management to the co-founders and executive team
  • Arrange business travel
  • Complete and submits expense claims

Team & Culture

  • Own all things social; we love getting together and you’ll be running point on organising and arranging social activities in and out of the office
  • Coordinate onboarding for new starters, making sure they are welcomed into RIXO with open arms – overseeing IT equipment & all new starter processes

Who you are:

  • You’ve got at least 3 years’ previous experience in office administration and facilities support
  • Excellent verbal and written communication skills: you know the difference between it’s and its and you’re confident interacting with people at all levels of the organisation
  • You’re passionate about company culture and genuinely care about the well-being of the team around you – be it the founders and executive team or an intern
  • You’ve demonstrated rockstar project management skills in a previous role
  • You’re exceptionally organised and thrive on solving problems and working closely with people, especially under pressure and managing multiple, and often conflicting, priorities at the same time.
  • You’re incredibly discreet – you’d pass the MI5 entry test with flying colours
  • Highly motivated self-starter – able to take a broad perspective and effect change, introducing new processes into the office
  • You’re as happy taking direction as you are using your own initiative
  • You’ve got a great attention to detail
  • You understand the nuances of life in a start-up and are happy to roll up your sleeves: no job is too big, or too small
