Provides the best representation for the company to guests and fellow employees. Supports the facilitation of general office operations. Receives telephone calls and assists with placement of calls. Receives visitors, answers general questions and assists the with the administration of all office procedures. The receptionist must maintain a positive appearance and approach while performing all duties and responsibilities.

Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Office Hours: Monday – Friday: 8:00 to 5:00

  • Takes care of day-to-day administrative tasks including sorting and distributing mail, faxing documents, greeting of clients and visitors, manage Federal Express, UPS and US Mail shipments, answer main reception phone (light coverage).
  • Creates schedules for on-site candidate interviews.
  • Office maintenance tasks: maintain inventory of snack vendor / office lunches, plant vendor, towel service, car wash, copier, shredding, etc.
  • Ensure the office is well maintained and always has a good appearance.
  • Responsible for ensuring office supplies are well stocked
  • Prepare conference rooms for meetings and calendar management.
  • Assist in coordinating light company related recreational activities.
  • Assists with the preparation and cleanup of work stations for new hires as needed.
  • Prepares reports, graphs and presentations using spreadsheet and graphic software, schedules appointments, e-mail and telephone communication coordinating meetings and travel.
  • Assist in the preparation of correspondence / mailings on an as needed basis.
  • Assists in preparing and processing of confidential information, maintaining and creating files, typing faxing, and copying.
  • Business Card ordering.

  • Ability to Multi-task
  • Must be highly dependable, detail-oriented and have good prioritization skills
  • Strong written and oral communication skills
  • Excellent interpersonal, analytical, planning and problem solving skills
  • Ability to work independently with minimal supervision
  • Bachelor's degree in Business or Liberal Arts discipline

Minimum 5+ years experience, or equivalent combination of education and experience.
