Role

Red Cell is looking for an Office Manager to coordinate and execute administration duties and office procedures. The role will create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Office Manager duties and responsibilities include making office supplies arrangements, conducting inventory management, greeting visitors, scheduling meetings and appointments, ensuring a clean and organized office environment, and providing general administrative support to our employees. The ideal candidate will have a strong background in office management and possess excellent communication and organizational skills. A successful Office Manager will also have experience with a variety of office software (email tools and spreadsheets) and be able to accurately handle administrative duties.

The Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

Responsibilities

  • Manage day-to-day office operations, including the handling of mail and deliveries, filing and scanning documents, maintaining office supplies, and ensuring the cleanliness and organization of the office space.
  • Provide general support for office visitors, ensuring a welcoming experience for all external guests.
  • Order and restock supplies/inventory, including food & beverage.
  • Coordinate catering for regular office meals as well as occasional events.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Oversee facilities management, including coordinating repairs and maintenance, managing vendor relationships, and ensuring compliance with health and safety regulations.
  • Evaluate vendor performance, negotiate contracts, and explore cost-saving opportunities to optimize vendor relationships and procurement processes.
  • Adhere to office budgets and track expenses to ensure effective planning and cost control.
  • Develop and update office policies and procedures to ensure compliance with regulatory requirements and alignment with organizational goals.
  • Provide basic technical support to staff for office equipment, software applications, and IT systems – such as video call setup and support for meetings – and coordinate with IT support teams for more complex issues.
  • Assist with the new hire onboarding process.
  • Respond to employee queries regarding office management issues (e.g., supplies, hardware, and travel arrangements).
  • Assist in planning in-house or off-site activities, such as parties, celebrations and conferences

Requirements and skills

  • Required to work on-site at our office in McLean, VA five days/week except on federal holidays
  • Proven experience as an Office Manager, Office Administrator, or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Must be able to lift 25 lbs
  • High School degree; additional qualification as an Administrative Assistant or Receptionist will be a plus
