Role Overview

This Education Philanthropy Company seeks a highly motivated, dynamic roll up one’s sleeves individual to serve as the Associate Director of Operations to help the team achieve its mission. This role will oversee their portfolio management activities, including general operations and budget management, and grant-making administration and reporting. Addtionally, this role will advance the firm's strategic communications priorities and manage special projects and initiatives, such as the Winter Coat Project and Teacher Appreciation Week. What will you do?

Lead portfolio management activities by working in close coordination with education and philanthropy teams (35%)

  • Serve as the liaison between pillars in order to promote strong collaboration and communication as well as excellent execution;
  • Support leadership in setting goals and tracking and reporting progress;
  • Design and refine operating systems, tools, and practices to enable data-informed decision-making;
  • Oversee development and management of annual budgets as well as ensure efficient and timely budget planning processes are in place and refined as needed;
  • Ensure efficient and accurate management of budget data, designing, developing, and refining budget processes and systems to ensure timelines are adhered to as well as data accuracy;
  • Manage budget and budget reconciliation, ensuring thorough and timely reporting to appropriate stakeholders;
  • Conduct research to build a network of best-in-class prospective vendors aligned to team goals;
  • Develop RFPs and RFIs and manage processes, engaging with prospective vendors as needed;
  • Manage vendor relationships including sourcing, contracting, and onboarding vendors;

Support grant-making processes by collaborating with Education and Philanthropies teams (30%)

  • Serve as the liaison between pillars in order to promote strong collaboration and communication as well as excellent execution;
  • Perform research and due diligence on potential grants and grantees;
  • Review proposals and support program leaders in developing recommendations and formalizing grant agreements with clear metrics and timelines in support of select education grants;
  • Initiate grant processing and payments in the grants management system and oversee all activities throughout the grant lifecycle, including reporting and data maintenance;

Advance education strategic communications priorities (20%)

  • Create content for and oversee the development, publication, and distribution of all print and electronic collateral including, but not limited to newsletters and annual report;
  • Create content for and oversee firm websites and social media channels, including
  • Teachers of Connecticut, ensuring the platforms promote accurate and timely content and amplify a consistent and compelling public narrative;
  • Collaborate with colleagues in furthering the team’s brand and communications strategy by, among other responsibilities, managing website vendors, designers, and social media vendors;

Manage special projects and initiatives (15%)

  • Manage the Winter Coat Project, which entails coordinating with school district liaisons and overseeing a small team of consultants tasked with donating thousands of coats to children across Connecticut every fall, Teacher Appreciation Week, and other special projects and events; and
  • Execute ad hoc projects, research, and initiatives as necessary to advance the team’s mission.

What are you like?

Professional qualifications:

  • 10+ years of experience in business operations and systems management required;
  • Bachelor’s degree at an accredited higher education institution required;
  • Experience successfully demonstrating the cultural competency to work across diverse populations and
    the ability to build excellent relationships with stakeholders from various walks of life (e.g. colleagues, partners, practitioners, and community members) required;
  • Philanthropic grant-making and/or data management and research experience with an interest in social investing, capacity building, and/or public education preferred; and
  • Highly proficient utilizing data systems and tools for data entry and analysis, and exceptionally skilled in SalesForce Foundation Connect, Word, Excel, PowerPoint, and Google Suite.

Anything else you should know?

The team is currently working-from-home due to the current state of the pandemic. However, the team plans to return to the office at least two days per week, beginning on March 28, 2022. As such, this position will work from the Sound View office in Greenwich and follow the team’s hybrid work policy, and any updates to it, as necessary and consistent with public health guidelines. 

Compensation for this role is competitive and commensurate with experience.
