We’re looking for an Executive Assistant who is passionate about mental wellness.
The Executive Assistant will contribute to the company’s growth by supporting the CEO on a daily basis with administrative support. They will act as a gatekeeper and liaisons for the CEO and leadership team. This is a full-time 6-month contract position.
The Executive Assistant will report to the CEO. This role would require the Executive Assistant to be in our New York City office on as-needed bases.
A day in the life:
- Handle highly confidential information and documents with discretion and confidentiality.
- Manage and maintain the CEO calendar, including internal and external meetings, prioritizing appropriately and using exceptional judgment in offering solutions to complex scheduling and meeting planning needs
- Coordinate board meetings, executive off-sites, and ongoing staff meetings, which include but are not limited to, calendar invites, preparing written materials and attendee communications, venue management/coordination, organizing agendas, audio/video set-up and management as needed, catering and program material preparation, room setup/cleanup, etc.
- Own complex travel logistics for CEO — this includes domestic and international travel and involves booking flights , hotel, and rental cars — adding details of all to CEO’s calendar.
- Own time management- assume responsibility for CEO’s time and meeting blocking for virtual and in person meetings. This includes accounting for commute times and time zone changes. Proactively review and make changes to the CEO's calendar before double bookings occur.
- Owns conference logistics on behalf of the CEO- this includes VIP meetings, speaking engagements, and event logistics.
- Proactively manage communication, and respond to urgent inquiries from internal / external stakeholders on the CEO’s behalf.
- Process and track monthly expenses for the CEO.
- Operate with exceptional attention to detail. Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention.
- Provide innovative and creative methods for continued improvements to administrative processes as the company scales.
- Makes informed decisions for the CEO regarding calendar, scheduling, time management, travel and record keeping with previous correspondences.
You’ve got:
- 5+ years of high level experience supporting a senior level executive(s).
- A strong team player, who thrives in a collaborative setting and works with individuals at all levels of the organization.
- Proactive, positive and personable with excellent communication skills and an upbeat, “can do” attitude- willing to take initiative with confidence.
- Resilient, with ability to manage multiple projects and deliver quality work to deadlines.
- Discretion, diplomacy and excellent judgment; high degree of integrity when dealing with confidential and sensitive information.
- Exceptional attention to detail.
- Strong calendar management and prioritization skills.
- Advanced proficiency with Gmail, Google Calendar as well as key applications such as Word, Excel, Powerpoint and Zoom.
- You are comfortable working in a remote environment and working independently.
- Skilled at giving and receiving ongoing feedback
The base annual salary for this role is between $75,000 - $90,000, depending on skill set and experience level. Please keep in mind that this is a 6 month contract role. Our compensation program is geographically-neutral, meaning that we do not adjust our pay ranges based on where you live, so this salary range applies to all candidates.”
