YOUR ROLE AND IMPACT

Our Home Office is looking for an experienced and skilled Office Services Supervisor responsible for the management of the Office Services Team and the day-to-day workings of Home Office. This role requires someone who is experienced in the implementation and supervision of policies, procedures and programs that will ensure a well-managed Office Services team. You will be responsible for all of the necessary facilities, equipment, and services that support the productivity and success of the organization are provided and maintained in a consistent, efficient, and courteous manner.

  • You’re passionate about a positive work environment. You will work with other Prometheans and external vendors to create great outcomes in our working environments. You are able to organize and prioritize service requests and general maintenance tasks, manage vendor jobs and conduct daily rounds to maintain inventory and identify maintenance needs. You will manage recruitment and training of personnel while also effectively delegating responsibilities, monitor task progress to completion,  address any employee performance issues to drive results.
  • You’re also passionate about people. Not only are you responsible for the overall direction, coordination and evaluation of the Office Services Department and Team, you will also supervise the alteration of the Home Office. You are responsible for assisting and coordinating work procedures, preparing work schedules and workflow. You will be in charge of documenting and updating the department’s policies and procedures ensuring that they are compliant. You are the main point of contact in collaboration with the Commercial team to address building related-concerns and implement solutions to support both Home Office and building requirements.
  • You’re a financial wizard. You will be in charge of issuing appropriate purchase requisitions and negotiating contracts for office equipment and related equipment maintenance. You will also review and process all invoices for office supplies, services and contracted expenses. You will oversee the preparation and management of the annual Office Services budget and monthly financial variance report. Lasty, you will administrate vendor contracts for the Office Services department, including review and inspection of vendor performance and compliance with contracts.

HERE'S MORE OF THE NITTY-GRITTY:

Our Office Services Supervisor possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • High school diploma or general education degree (GED) required. Bachelor's degree or equivalent from four-year college or technical school preferred.\
  • Minimum of five years in a customer service role.
  • Minimum of three years corporate office management or related administrative experience.
  • Minimum of two years supervisory experience.
  • Minimum of one to two years residential or commercial development and/or property management experience.
  • Ability to focus and maintain attention to performance of tasks and to work and complete assignments on time despite frequent stressful, emergency, critical or unusual interruptions.
  • Effectively present information and respond to questions from groups of managers, clients, residents, and the general public.
  • Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram for.
  • Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required. Length of time of these tasks may vary from day to day and task to task.
  • Requires standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity. The employee is occasionally required to climb or balance. Must be able to lift up to 15 lbs. occasionally.
  • Big picture thinking – you know how the little details impact the big picture, and can adjust the former to impact that latter.
  • You are not afraid to break norms, create new things, and think differently. In fact, it’s kind of that you are known for.

COMPENSATION AND BENEFITS

We offer a variety of benefits that take compensation well beyond a paycheck. This includes traditional benefits and benefits you might not expect or know about. The provided salary range is based on a number of factors, including location, job-related skills, experience and qualifications. 

Compensation

  • Pay Range: $34.50 to $47.00 an hour   
  • Discretionary Annual Bonus Plan
