YOUR ROLE AND IMPACT

Our Facilities and Maintenance Team is looking for a Facilities and Maintenance Coordinator with a basic knowledge in basic Accounting and demonstrated abilities to manage multiple projects and priorities. This role requires someone who is able to provide overall support to the Procurement and Facilities and Maintenance teams. 

  • Procurement Support - Promptly respond to internal requests (Fresh Service) related to our e-Procurement systems; Vendor Credentialing and other requests and follow through to ensure a proper resolution. Create monthly accrual reports, aging reports, and P-Card reports. Review and clear exception queues (OpsBuyer & OpsBid). Manage the dispute/rejected queue and clear aging WTN (Work Tracking Number). Update the vendor preferred list and vendor contact list. Support vendors on the management and comprehension of the OpsMerchant application. Manage the key-vendors monthly statements. Maintaining regular contact with vendors. Update and upload turnover vendor catalogs annually. Review vendor compliance status and contact if necessary. Assist in Vendor Credentialing list clean-up.
  • Contract Support - Create and prepare bulk purchase contracts, including the creation of contract OIDs (OpsBid), Change Orders and Amendments. Keep Addendums updated as needed. Monitor contract compliance from vendors to address and resolve any contract variation with internal and external parties. Manage and update the Bulk Contract log to track expiration dates. Prepare contract cancellation letters when needed.
  • Department Collaboration & Support Responsibilities - Assist in creating reports as requested by Prometheans that are related to Procurement function including contracts and vendors. Assist in preparing communications to the field. Audit Green Program invoices in RUM are being submitted in a timely manner. Allocate rebate checks to their corresponding neighborhoods. In collaboration with Cash Management, update all PCards on for Home Depot website for rebate annually. Manage the Amazon Business program. Complete vendor credit applications when needed. Maintain regular contact and build solid, working relationships with Field Prometheans and Home Office Prometheans.

ROLE QUALIFICATIONS

Our Facilities and Maintenance Coordinator possesses the following experience, skills and abilities:

  • High school diploma or general education degree (GED). Bachelor's degree preferred. 
  • Basic Accounting knowledge. 
  • Demonstrate ability to manage multiple projects and priorities to conclusion.
  • Effectively present information and respond to questions from groups of managers, clients, residents, and the general public. 
  • Must possess basic computational skills; add, subtract, divide, and multiply.  Must have the ability to compute rate, discounts, interest, and commissions.  Must be able to prepare and analyze data figures and transcriptions generated by a computer.
  • Computer proficient in Windows, MS Office, Word, Excel, Outlook, the Internet.  Ability to type 40+ wpm. Use of Realpage SpendManagement & Yardi preferred but not required.

Compensation

  • Pay Range: $28.50/hour to $35.25/hour 
  • Discretionary Annual Bonus Plan
