The Opportunity 

The Billing Specialist works with the Accounting Team to invoice clients and support collection team to collect accounts receivable.  This role requires a positive and proactive attitude, strong organizational skills, and an ability to prioritize and multitask. The Billing Specialist will need to maintain positive relationships with clients while billing & collecting. 

Key Responsibilities 

  • Oversee billing and A/R for an assigned pipeline of customers, handling all verbal and written communication directly with the customers.
  • Research and validate Contract accuracy, analyze accounts prior to initiating billing for special requirements, examine historical data to determine if any steps are needed to ensure accuracy in invoicing, set up portals and submit invoicing on vendor sites.
  • Perform invoicing for projects or as assigned.
    • Monthly billing for hardware & services  
    • Special billings & Manual Invoicing
    • Batch Billing for Recurring charges
    • Deposit tracking and Application
    • Credit memos & Application prior to invoice release
    • Document Customer specifics in Customer record for billing accuracy
    • Follow up with customers and internal teams to obtain Purchase Orders
  • Work with Project Managers and Sales Reps to clarify billing requirements and document accordingly.
  • Communicate regularly with the client on disputes to ensure that invoicing requirements are met & there are no outstanding issues.
  • Maintain files on all accounts, documenting special needs and processes for billing and receivables, portal sheets and SOP’s.
  • Manage multiple systems to understand full account history, contracting and special requirements to ensure invoice accuracy.
  • Prepare account reconciliations to present to internal team and customer to resolve outstanding issues.
  • Assist collections in resolving customer questions or billing errors within SLA.
  • Troubleshoot systems related issues when they arise, present to managers and Business Intelligence to solve current and future problems.
  • Maintain strong, positive relationships with clients regardless of current project status.
  • Other duties or projects as assigned.

Must haves: 

  • 3+ years experience in a similar role
  • Strong communication skills, both written and verbal
  • Ability to conduct a large volume of written communication & Follow-ups.
  • Ability to multitask and juggle competing priorities.
  • Strong organizational skills required.
  • Detail-oriented
  • Proficient in MS Excel
  • Basic accounting principles a plus
  • Strong computer skills, comfortable working in cloud systems for a full workday

Nice to haves: 

  • Experience with Salesforce.com a plus 
  • Experience with NetSuite OpenAir  
  • Previous Experience with Contract Invoicing 
  • SAAS Experience.
