The Receptionist is responsible for opening the Polychain Capital office at 8:30AM and closing at 5PM, Monday – Friday. They will foster an environment of warmth and professionalism for all visitors and will be an important member of the Polychain family. This role is not only the face of Polychain, but is also a critical liaison between Polychain employees, visitors, vendors, investors, portfolio founders, and  business partners. They will be exposed to all departments across the company and work cross-functionally to accomplish various tasks and projects.

 

Responsibilities  

 

  • Greet guests with professionalism and warmth, manage the flow of lobby traffic, and alert employees when visitors arrive
  • They are an ambassador of the Polychain values
  • Answer phones in a professional manner, route calls as necessary, take messages as needed
  • Maintain clean and organized reception and common office areas
  • Daily restocking of water and coffee in the open office and boardroom
  • Manage and stock Bevi water systems, water coolers, and tap systems (cold brew, kombucha etc.)
  • Manage the office snack and refreshment program (all drinks)
  • Manage the meal program for the office (catering, company lunches, company dinners)
  • Manage the plant program (watering, general care)
  • Liaise with building security and building management on all facilities needs and access
  • Own distribution of office supplies and maintain organized supply closet
  • Document & submit office supply expense reports  
  • Assist with event coordination
  • Receive and sort incoming mail; develop an efficient system for collection & distribution
  • Assist with a variety of administrational tasks including copying, faxing, record keeping
  • Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed

  • Strong verbal and written communication skills
  • Ability to work independently, as well as part of a collaborative team, and assume additional responsibilities as required
  • Resourceful and proactive problem solver
  • Exceptional attention to detail and organizational skills
  • Previous administrative support experience
  • Friendly, personable, and professional demeanor
  • Ability to multi-task and solve problems quickly
  • Ability to work in a fast-paced environment, anticipate team needs and respond accordingly
  • Strict confidentiality standards
  • Proficient skills with MS Office applications and/or G-Suite
  • 1-2 years+ relevant experience
  • Able to lift 20 lbs
