The Program Operations team are the primary users of Pollen’s product. They are responsible for the creation and management of all Pollen campaigns, as well as internal system optimisations for all stakeholders. 

As a Program Operations Manager, you will be expected to quickly gain a detailed knowledge of the campaign pipeline and it’s systems from inception to fulfilment, be able to troubleshoot issues and lead on escalation procedures. Additionally, as a manager you would be expected to identify and report on areas for improvement and optimization within the Program Operations team and on wider internal processes.

In the first 12 months you will:

  • Master internal processes and tooling to successfully launch campaigns to thousands of customers to some of the biggest brands in the world.
  • You will develop the skills to set up integrated campaigns with some of the biggest ticketing companies we are partnered with such as Frontgate and Eventbrite.
  • You will create key relationships with marketing, sales and our hotel sourcing team to facilitate the creation of world class Curated Travel campaigns, according to tight deadlines.
  • Be responsible for weekly fulfilment of music campaigns under your remit, ensuring hundreds of our customers receive their tickets correctly and on time. 
  • Identify, lead and manage the development and implementing of new operational processes within the program operations team and the ability to train other teams on new processes
  • Coach the campaign operations coordinators to ensure they have an in depth understanding of internal systems to support sales and account management teams ensuring trips are built and maintained accurately
  • Support the Customer Operations team to ensure all travellers are selling on accurate inventory including ensuring the swap process pre event managed and maintained cleanly including assisting with data requirements including orphan numbers and inventory alerts
  • Build a relationship with the outsourced team to ensure the teams capacity is optimized for maximum impact and regular, easy to train tasks are continuously handed over to increase multiple teams capacity
  • Create and maintain playbooks for use across the company ensuring information can be shared cross functionally accurately including training material for new hires.
  • Assist day - day process across teams is maintained as the company scales including expanding knowledge to assist formals with campaign operations
  • Learn the Pollen internal processes and differences to ensure you have the knowledge to scale yourself as the the product lines merge
  • Ability to manage control fulfilment from end to end & report effectively on any issues 
  • Build strong relationships to be reliable and knowledgeable on various campaigns and events to orchestrate the successful operations of a campaign across all departments from start to end
