Petfolk is seeking a Project and Executive Coordinator, who will support the CEO and Brand Director by providing detail-oriented administrative and project support. This dynamic position blends traditional executive assistant duties with project coordination tasks on the brand front, offering the opportunity to work closely with senior leadership and across departments. You'll be the key point of contact for coordinating schedules, organizing team events, and assisting with key brand initiatives. This hybrid role requires 3-4 days a week in the office.

Key Responsibilities
Executive Support:

  • Provide executive support to the CEO, including managing calendars, scheduling meetings, booking travel, and handling expenses. Anticipate needs and ensure efficient time management.
  • Coordinate team offsites, events, and executive meetings, handling logistics and ensuring smooth execution aligned with company goals.
  • Act as a gatekeeper for the CEO, prioritizing time effectively, screening communications, and ensuring urgent matters are addressed while maintaining strict confidentiality.
  • Assist with personal tasks as needed to optimize the CEO’s bandwidth, including personal scheduling and travel arrangements.
  • Handle sensitive information with discretion, safeguarding the confidentiality of business and personal matters.
  • Liaise with key stakeholders, including board members, senior leadership, and external partners, ensuring smooth communication and alignment.

Project Coordination:

  • Support special projects, especially those related to branding, by coordinating with internal teams and external partners to ensure timely execution.

Qualifications

  • 1-3 years of experience in executive support or project management, ideally within a fast-paced, high-growth environment.
  • Strong organizational skills with the ability to juggle multiple tasks and prioritize effectively.
  • Proactive problem-solver with the ability to anticipate the needs of the CEO and Brand Director.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong follow-through and a passion for execution.
  • Familiarity with branding, marketing, or creative departments is a plus.
  • Proficient in Google Suite or related software.
