Title: Maintenance Coordinator

Reports to:  Maintenance Site Coach

Direct reports:  N/A

Pay Type: Hourly

Overview 

  • The Maintenance Coordinator is responsible for contributing to the efficiency and productivity of the Maintenance Department by providing support to the site Coach and LPM Team Members through scheduling and organization of the company preventative maintenance program as well as general repairs to company owned rolling assets, including Class 8 vehicles and multi-axle trailers.  This position will assess, prioritize, and schedule maintenance using Samsara, Mainsaver, PM and driver feedback.  This position is responsible for assisting in the identification of maintenance gaps creating opportunity to improve profitability, safety, and efficiency of the Maintenance Department.   

 

Objective

  • Assist Maintenance Coach in implementing standardized maintenance program to meet DOT requirements as well as company objectives, KPI’s, and metrics. Collaborates with LPM/LPT Coaches and technicians to ensure safe, quality, timely and cost-effective maintenance through coordination of services.  

 

Accountabilities

Create/Complete Work Orders

  • Create work orders and generate parts lists for immediate use/back log from PM notes, Samsara log entries, PM schedules.
  • Coordinate with Parts Department for ordering materials.

Preventative Maintenance Scheduling

  • Utilize driver feedback from Samsara to prioritize maintenance creating backlog or immediate work to be assigned by site Coach
  • Update Samsara and Mainsaver as PMs are completed for accurate reporting

Systems Management

  • Ensure continuity of data streaming between Samsara and Mainsaver through regular audits
  • File necessary paperwork and workorders for DOT and company held compliance
  • Maintain and provide tracking for all warranty related repairs
  • Work with Parts Department to ensure proper materials are being stocked to meet current demand

 

Receive/Dispatch Road Calls

  • Provide support to internal and external drivers hauling Padnos assets, setting up road calls as needed for over the road breakdowns

Qualifications

Abilities

  • Excellent verbal and written communication skills 
  • Excellent organization and planning skills for multi-site support
  • Attention to detail and exceptional documentation skills are mandatory
  • Ability to use “Concern, Cause, Correction” format necessary for creating and communicating clear work orders
  • Thorough understanding of MS Excel, MS Office and SharePoint is required
  • Ability to work within budget
  • Travel to multiple sites within Michigan required, up to 15%
  • Ability to learn Samsara equipment tracking software and company specific software to run reports and complete administrator responsibilities
  • Ability to develop network and collaborate with inside/outside vendors and suppliers
  • Ability to learn and maintain knowledge of current DOT law as it relates to Class 8 vehicles and multi-axle trailers

 

Required Experience

  • 3+ years of experience working in Transportation Industry
  • Knowledge of Automotive/Heavy Equipment preferred
  • Previous similar experience managing a maintenance program preferred.
  • Experience presenting to and interaction with senior management preferred.
  • On call availability as needed
