Position Description

Origis Energy is looking for an Corporate Services Administrator to join our diverse and growing team at our Austin, TX office. The ideal candidate will be reliable, have a positive attitude, and be willing to lend assistance whenever needed.

The Corporate Services Administrator is a regular, full-time position, and is eligible for our generous employee benefits package, including employer paid health insurance, paid time off, a 401(k) plan with employer matching contributions, and other great benefits. This position reports to our Executive Administrator.

 

Key Responsibilities

  • Works from the front desk and presents themselves in a professional, courteous manner at all times.
  • Meets and greets visitors and answers the main phone line, screening callers and taking accurate messages
  • Distributes mail and packages as they are received; assists employees with outbound shipments by creating shipping labels and coordinating package drop offs with shipping carriers.
  • Coordinates employee travel arrangements working with travel agencies and suppliers to secure preferred pricing, schedule flights, rental cars, and hotel accommodations; communicates travel information to employees and works out any scheduling problems
  • Supports ownership and enforcement of corporate travel and expense policy and manages review and approval workflow for employee travel and expense reports
  • Coordinates team meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing conference rooms, and ordering and serving food and beverages when needed.
  • Provides organizational support for industry conferences and office events including but not limited to coordinating registrations with external vendors, setup/takedown, coordination and serving of food and beverage, distributing and maintaining schedules and executive assistance as needed
  • Provide executive support including but not limited to facilitation of contract signatures, management of calendars & scheduling
  • Orders and maintains office supplies, coordinates equipment maintenance.
  • Assists in development and implementation of department systems and procedures as needed.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Assists with special projects as assigned.
  • Manages company cell phone plans.
  • Assists with new employee onboarding including but not limited to managing memberships/subscriptions, garage parking, building access, Concur profiles, orders and assigns IT equipment, orders business cards.
  • Creates purchase orders in SAP for corporate expenses.
  • Assists with employee offboarding including but not limited to deactivating memberships/subscriptions, deleting profiles, retrieving equipment, deactivating employee cellphones and building/parking access.
  • Orders company branded items and maintains inventory.
  • Responsible for making sure the Corporate Health & Safety Manual is being followed in the office.
  • Must complete OSHA certification.
  • Must complete CPR certification.

 

Preferred Qualifications

  • College degree, three to five years related experience, or equivalent combination of education and experience
  • Excellent verbal and written communication skills
  • Commitment to excellence and high standards
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels
  • Ability to work independently and as a member of various teams
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Experience with building out or expanding an organization or office location is a bonus skillset
