WHAT YOU WILL DO

onX seeks a highly motivated Executive Assistant, poised to make a significant impact within our organization focusing on the product organization and Hunt business unit. This role represents an opportunity to work closely with a world-class leadership team, contributing directly to the efficiency and success of their daily operations. With a strong emphasis on organization, meticulous attention to detail, and a proactive approach to creating value, you will play a pivotal role in our administrative team. Your work will directly support our leaders, facilitating their efforts to steer onX towards new heights of success. This role will report to our Chief Technology Officer. 

As an onX Executive Assistant, your essential job duties and responsibilities will look like: 

Executive Assistant Responsibilities (70%): 

  • Efficiently manage and prioritize complex schedules and travel arrangements, ensuring optimal use of time for 6 executives. 
  • Manage the planning and execution of high-level team events, handling logistics and attendee engagement to align with executive standards. 
  • Handle internal and external communications with professionalism, ensuring confidentiality and effective message delivery on behalf of top team members. 
  • Assist with a variety of tasks as directed, promoting collaboration among stakeholders and facilitating project advancement. 
  • Organize departmental meetings, including scheduling, agenda preparation, and material distribution, to support productive discussions. 
  • Perform targeted online research to support travel planning needs and new initiatives, providing actionable insights. 
  • Maintain strict confidentiality and protect sensitive information, adhering to data protection protocols. 
  • Enable executives to focus on strategic initiatives and drive organizational success. 

Bozeman Office Support (30%)

  • Support and back up our Lead Workplace Operations Specialist in managing the day-to-day operations of the Bozeman office. 
  • Provide in-person assistance with meetings as scheduled, including light office duties, food & beverage delivery, meeting notes, and similar administrative functions. 
  • Assist in coordinating office supplies and managing vendor relationships to support office functionality.
  • Help organize office events and team-building activities to foster a positive workplace culture.

WHAT YOU’LL BRING

  • Bachelor’s degree or equivalent experience.
  • Minimum of three (3) years of experience in an Assistant role directly supporting senior-level management in a fast-paced environment.
  • Demonstrated experience in managing complex calendars, planning and organizing events of various sizes, and handling domestic and international travel arrangements.
  • Ensure coordination and execution of high-priority tasks while optimizing workflow.
  • Proven track record of handling confidential information with the utmost discretion.
  • Outstanding organizational skills, with a demonstrated ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Detail-oriented with a high level of accuracy in all aspects of work.
  • Excellent interpersonal skills, with the ability to interact professionally with staff and external partners of all levels.
  • Excellent time management skills, with a proven ability to work efficiently under pressure.
  • Ability to work effectively both independently and as part of a team.
  • Demonstrated proactive approaches to problem-solving and strong decision-making capability.

  • Permanent US work authorization is a condition of employment with onX.
  • Ability to travel up to four (4) times per year for multiple days to a corporate office or other onX strategic location, such as a Basecamp.

WHERE YOU CAN WORK

onX has created a thriving distributed workforce community across several US locations. This position is located in Bozeman, MT with in-office work expected at least three days per week. 

HOW YOU’LL BE COMPENSATED

onX is committed to compensating all employees fairly and equitably for their contributions. For this position, applicants can expect to make between $75,000 to $85,000 upon hire. The pay range will vary based on experience, skills, certifications, and education among other factors as required in the job description. In addition, full-time onX employees are eligible for a grant of common share options with a vesting schedule and a potential annual bonus of 10% based on company performance.
