Your Role:
As an employee of Offshore Launch, you are being hired for a unique role within a target Client’s company. We value long-term partnerships, and seek to recruit talent that will serve an individual Client’s business for multiple years.
You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:
- Membership in the Offshore Launch Slack workspace
- Bi-weekly All Team meetings
- Monthly reviews

Responsibilities:
Lead & CRM Management
- Track new leads and job statuses within AccuLynx or other CRM systems.
- Ensure proposals and estimates are followed up on to improve close rates.
- Monitor and update job pipelines, keeping sales and operations teams informed.
Customer & Job Coordination
- Schedule roofing jobs, ensuring crew availability and material delivery align with project timelines.
- Send job reminders before inspections, installations, and project completions.
- Act as a liaison between customers, project managers, and field crews, ensuring all parties are informed of job progress.
Crew & Vendor Scheduling
- Coordinate with roofing crews, subcontractors, and suppliers to prevent scheduling conflicts.
- Ensure subcontractors, such as gutter installers, painters, and labor crews, are properly scheduled.
- Maintain crew availability calendars to optimize job scheduling.
Invoicing & Payment Tracking
- Generate and send invoices using QuickBooks and Payzer.
- Track payment statuses, apply received payments to jobs, and update records in AccuLynx.
- Follow up on overdue payments via email, text, and phone calls.
- Work with project managers and customers to resolve payment disputes.
Reporting & Process Documentation
- Maintain weekly reports on job progress, invoicing status, and collections.
- Document and refine standard operating procedures (SOPs) for key workflows.
- Identify bottlenecks and inefficiencies, recommending process improvements.
Administrative Support & Process Optimization
- Support job file reviews, ensuring all project details are correctly documented.
- Monitor Google Reviews and online reputation management efforts.
- Assist in marketing monitoring efforts, such as rehash campaigns and warranty registrations.
Requirements:
- Must have a minimum 2+ years in the roofing or construction industry.
- Experience in an administrative, operations, or project coordination role.
- Experience with AccuLynx.
- Experience with QuickBooks, Payzer, Google Sheets, RoofSnap, or similar tools is a plus.
- Exceptional written and verbal communication skills, with the ability to coordinate between clients, project managers, and vendors.
- Highly Organized: Capable of tracking multiple jobs, invoices, and customer communications simultaneously.
- Problem-Solving Ability: Proactive in troubleshooting scheduling conflicts, payment delays, and operational inefficiencies.
Compensation & Benefits (to be provided by Offshore Launch):
- $800-$1,300 depending on experience
- 13th month pay
- Performance-based bonuses
