Key Customers/Stakeholders

The HR & Payroll Specialist will maintain effective working relationships with a variety of stakeholders:

  • Payroll team members both local and international
  • Employees (Poland entity)
  • People Team
  • Finance Team
  • Heads of DevCenters
  • Team managers and heads of departments 

Roles & Responsibilities 

  • Cooperation with external payroll provider to ensure the integrity of payroll information, calculations and management of data
  • Validation and sign-off of payroll lists provided by the vendor
  • Maintenance of the documentation for contracts of employment, civil law contracts, B2B contracts (gathering, validation and archivisation) in cooperation with the external payroll provider 
  • Resolving employee and manager queries related to Polish labour law, social security and personal income tax in a professional and timely manner
  • Administration of the time and attendance system
  • Cooperation with an external provider with regards to hiring foreigners and processing international employee transfers 
  • Responsibility for documentation during employee lifecycle (new hires, terminations, contract extensions, salary changes)
  • Maintenance of the process and documentation related to employee programs (pension scheme, share programs)
  • Coordination of B2B contractors documentation
  • Cooperation with the Work Council in relation to the Social Fund
  • Ensuring compliance with the legal regulations as well as internal policies
  • Issuing of the employment certificates
  • Preparation of HR & Payroll reports and analyses for the purposes of various stakeholders 
  • Active role in the process improvements projects (process automation, employee self-service tools)
  • Creating and updating desktop procedures, policies and guidelines
  • Timely update of information on the intranet platform for employees

Knowledge, Skills and Experience

  • Knowledge of Polish labour law, social security and personal income tax regulations
  • Knowledge of payroll process and local provisions related to time and attendance 
  • Strong Microsoft Office/Google Docs skills (including fluency in Microsoft Excel)
  • Being able to work in a fast-paced environment
  • Strong attention to detail under pressure & working with high volumes
  • Must have a high level of confidentiality
  • Excellent written skills, the ability to communicate internally & externally in both Polish and English
  • Excellent interpersonal skills and the ability to communicate and build relationships effectively with key stakeholders at all levels across the business – internally and externally
  • Able to motivate and set stretching and ambitious targets for themselves, ensuring excellent delivery
  • Highly organised with a natural ability to prioritise
  • Flexibility and the willingness to learn
  • Ability to work independently as well as part of a team
  • Systems experience with onPoint and Workday is preferable
  • Experience working with engineers or rooted in a high-tech company would be desired, but is not a must have
