Within Ocado Group sits Platform Implementation, whose mission is ‘to orchestrate the implementation of Ocado’s platforms globally’. This department focuses on the full programme management life cycle of the implementation of our highly automated, multi-million pound Customer Fulfilment Centres (CFCs) - from pre-deal, through to the design, construction, installation, testing and ‘go-live’ phases (with all the process and portfolio management in between). This department is instrumental in ensuring we deliver these CFCs on time, to budget, and to the specific requirements of each client.

The Functional Support Office within Platform Implementation drives and supports the continuous improvement of coordination, collaboration and engagement across the entire PI function.

This position is responsible for supporting the multiple departments within PI in an administrative capacity - including but not limited to raising POs, booking travel/accommodation, team communication, event coordination. Due to the rapid growth of our project pipeline and employee numbers, this role and team is integral in keeping the PI function organised.

What will you be doing?

  • Organising seating/desks/chairs/equipment/notice boards
  • Event and function management
  • Team communication including the department wide newsletter
  • Onboarding new starters
  • Supporting Employee Engagement activities across the department
  • Maintaining the department website and org charts
  • Assisting with ad-hoc requests, e.g. data classification, governance and software administration
  • Raising Purchase Orders
  • Booking hire cars in accordance with company policy
  • Booking travel and accommodation for employees 
  • Assisting with meeting room bookings and hospitality requests
  • Other general administrative and ad-hoc tasks
  • Assisting and providing cover when the Team Coordinators are on holiday

About you...

  • Previous experience in a team support/administration capacity within a fast paced business
  • Experience working with numbers and spreadsheets
  • Proven ability to prioritise, meet deadlines and make the best use of limited resources
  • Ability to communicate confidently with stakeholders all levels (including senior managers, Heads of Department and Directors)
  • IT skills – intermediate level MS Office (including Word, Excel and PowerPoint)
  • Strong attention to detail and ability to problem solve
  • Team player who is self-motivated and able to multitask under pressure
  • Flexible approach to working hours to support 24/7 business operation
  • Excellent communication skills - both written and verbal
