Position Overview: The Project and Procurement Support (PPS) team, operating within NYCEDC’s Asset Management (AM) Division, plays a pivotal role in overseeing project support, procurement processes, contract management, and financial operations. The Project & Procurement Support Analyst will contribute to these functions by reviewing invoices, facilitating payments, drafting contract documents, assisting in procurement, monitoring compliance, providing administrative support to project managers, and coordinating with various departments.

Asset Management (AM) manages NYCEDC’s 66 million square feet of real estate and programs in the city to help improve quality of life. AM develops and implements a double bottom line strategy that provides annual cash flow while creating good jobs and strengthening neighborhoods.

AM Business Operations supports the execution of positive financial and public benefit outcomes for the AM Division through the development of internal processes, AM policies, data tools, and reporting, and the management of the division’s financial health.

AM Project and Procurement Support (PPS) team works with Project Managers to process invoices, execute contract documents, track contract and project balances, assist with procurement process and ensure compliance requirements are met.

Essential Duties & Responsibilities:

  • Review monthly invoices for accuracy and contract compliance.
  • Collaborate with Project Managers and vendors to ensure timely payment processing.
  • Resolve accounting errors and discrepancies promptly and professionally.
  • Review & process contract amendments, approval letters, change orders, and task orders.
  • Assist in procurement activities for services, supplies, tools, and equipment.
  • Monitor and track contract compliance requirements, including insurance certificates.
  • Attend meetings to support project advancement and provide regular updates to department staff.
  • Provide administrative support to Project Management staff.
  • Guide Project Managers through NYCEDC's and the City's approval processes.
  • Coordinate with various departments at NYCEDC, including Budget, Contracts, Accounting, Legal, and Grants.
  • Perform other duties and project support tasks as assigned.

Requirements:

  • Associate degree and at least one year of experience in an office environment.
  • Proficiency in Microsoft Office 365, particularly Microsoft Excel.
  • Demonstrated proficiency in written and verbal communication for effectively engaging with internal personnel and external vendors.
  • Ability to multitask in a fast-paced environment and meet deadlines.
  • Detail-oriented with strong organizational, analytical, and critical thinking abilities.
  • Capacity to assess project needs and prioritize tasks effectively.
  • Demonstrated proactive approach to seeking assistance and asking pertinent questions as needed.
  • Experience in maintaining centralized project information and files.
  • Demonstrated experience managing budgets with strong understanding of budgeting techniques
  • New York City residency is required within 180 days of hire

Preferred Qualifications:

  • Bachelor's Degree or equivalent in Economics, Finance, Public Policy, Political Science, or related field.
  • Experience in public procurement, project management and financial analysis.
  • Familiarity with government processes and procedures including Grant funding.
Salary Range
$57,000$59,000 USD
