JOB SUMMARY
The Admin Associate is responsible for overseeing daily administrative functions, office upkeep, and providing support for fleet management, ticketing, logistics, petty purchases, and procurement. The role includes maintaining office cleanliness, managing petty cash, and ensuring smooth operation of office equipment and supplies.
WHAT YOU WILL DO
- Office Maintenance:
- Ensure timely opening and closing of the office.
- Conduct regular checks on office hygiene, safety, and maintenance.
- Prepare and submit requisitions for pantry, toiletries, and stationery items weekly.
- Maintain stock register and store in line with company procedures.
- Oversee repair and maintenance, ensuring all office equipment is functional.
- Fleet Management & Ticketing:
- Compile and prepare daily travel requests, ensuring vehicle support as needed.
- Coordinate with vendors for vehicle arrangements and schedule sharing.
- Manage ticketing and vehicle support for airport pick-up/drop as per approved tours.
- Collect and organize billing documents and assist with contract management.
- Logistics & Petty Purchase Support:
- Arrange and equip meeting rooms as required.
- Ensure timely payment of utilities and manage petty cash per company policies.
- Handle distribution of incoming mail, bank tasks, and bill processing as directed.
- Procurement & Service Support:
- Process purchase requests and assist with procurement documentation and vendor management.
- Help prepare yearly procurement plans and manage external event arrangements.
- Update and maintain vendor lists and procurement records.
- Inventory & Asset Management:
- Assist in maintaining and updating asset inventory.
- Receive materials, conduct quality checks, and manage inventory records.
- Coordinate annual asset verification and ensure equipment (e.g: AC) maintenance.
WHAT WE ARE LOOKING FOR
- Basic knowledge of administrative services and logistics, especially in NGO settings.
- Familiarity with administrative policies and procedures.
- Strong communication and problem-solving skills.
- 3-4 years of experience in an administrative role.
- Proven experience in admin and logistics support.
