Yayasan Noora Health (YNH) was established in 2023 to implement the evidence based and globally recognized Care Companion Program (CCP).
YNH is affiliated to and works closely with Noora Health, a US based health systems strengthening organization, that designed, developed, and implements the Care Companion Program. The CCP focuses on training and empowering family members of patients across the health system, equipping them with high-impact health skills required to become impactful caregivers to their loved ones and enable their recovery at home. The CCP is currently implemented at >500 health facilities in India and Bangladesh.
YNH will support and assist the Indonesian public health system to implement CCP across city, district, provincial, and national levels, thereby enabling improvements in health outcomes for patients and improved quality of health services and care delivery.
According to Noora Health’s discussions with East Java health provincial office and as per the MoU between Noora Health and District of Pamekasan on Care Companion Program Implementation, YNH will conduct a TOT (Training Of Trainers) for Health workers (Nurses/midwives/bidans) in order to train caregivers across East Java.
ABOUT THE ROLE
As a Secretary to the Board, you will be responsible for supporting the Executive Board, Governing Board and Supervisory Board in facilitating their weekly, monthly and annual work plans. This includes:
- Responsible for the day-to-day administration and logistics of the Board activities, including providing administrative and executive support to the boards.
- Functions as the primary contact person for the Board including the Country Director.
- To act as Corporate Secretary to the Board, preparing all Board agendas and materials necessary for in-person Board meetings and Board calls; taking meeting minutes, distributing, and publishing them as appropriate, while safeguarding the confidential nature of the discussions and information shared in the meetings; and filing any necessary information with the corresponding corporate entities.
WHAT YOU WILL DO
- The creation and maintenance of an up-to-date board planning calendar outlining matters to be on the board’s agenda over the course of a year.
- Provides the Board with notices of meeting times and places and requests contributions of items for the agenda.
- In consultation with the Country Director, prepares agendas for the Board meetings. These agendas, along with any supporting documentation, are distributed by the Secretary to members in advance of the meetings.
- Immediately after Board meetings the Secretary prepares a summary of their actions that is distributed to all members and to relevant personnel.
- Maintenance of a full contact list of board members including board member appointment dates, term of appointments and board member bio's.
- If the Secretary is unable to attend a meeting where minutes or notes are to be taken, it is the secretary’s responsibility to find an alternate.
- Oversight of the Association’s incorporation and charitable registration status and the facilitation of all annual filings of required reports and information.
- Maintain a file or manual of governance policies and a systematic schedule for their review as determined by the board.
- Manage external correspondence and ensuring that requests made of the Board, or relevant to the governance of the organization, is reported and responded to in a timely manner.
- Monitor the board budget.
- Make travel arrangements, and visa tracking for the Board Members.
WHO ARE WE LOOKING FOR
- 2-5 years of experience in secretarial and customer-relation tasks.
- Experience providing high quality administrative support.
- Excellent organizational skills and the demonstrated ability to self-manage multiple competing priorities while working to tight deadlines.
- Capacity to work both independently and productively as part of a small, geographically dispersed team.
- Strong data literacy and reporting skills, including excel skills.
- Strong technology skill and minute taking.
- Effective written and oral communication skills and demonstrated ability to communicate information coherently and concisely.
- Focused, positive attitude, flexible, and proactive.
- Solution Focus: take ownership of requests; tailor solution to the member/situation; be timely in follow-up; resourceful in info gathering/research.
- Bachelor's degree or equivalent work experience.
- English skill, both in writing and speaking.
GOOD TO HAVE
- Able to join immediately.
- Knowledge on NGO or Non-profit organization.
- Experience as assistant or secretary to board, director and/or committee.
