Duties/Responsibilities:
Coordinator / Operations:
- Possess a high level of attention to detail, high level of confidentiality, along with management and maintenance of data integrity in our ATS, Greenhouse, and other systems
- Support operational processes in the recruiting lifecycle, including creating requisitions, operational approvals, posting jobs, creating and sending out offer letters
- Collaborate with TA Leadership, Recruiters, People Team members, and IT to understand the operational process to ensure it is followed.
- Assist with Greenhouse troubleshooting, providing timely follow-up to inquiries from the Talent Acquisition team and other users.
- Continuously learn about new features and updates within Greenhouse, and proactively share relevant information and training with the Talent Acquisition team to ensure they are utilizing the system's full potential
- Create and maintain customized reports using Greenhouse’s analytics tools to track key recruiting metrics to share with stakeholders
- Adhere to hiring processes and outlined operations to ensure audit requirements are met satisfactorily
- Oversee and optimize Nexxen's employee referral program
- Maintain team shared drive to include updating templates, documents, etc
- Support ad hoc projects and requests as needed
Scheduling tasks:
- Own scheduling responsibilities for the candidate lifecycle, including: phone, virtual, and onsite interviews, and conference room bookings
- Work closely with recruiters, hiring managers and other interviewers to ensure all necessary information is received to successfully execute on scheduling responsibilities
- Communicate in a timely and friendly manner all interview logistics and updates to interviewers and candidates
- Strong attention to detail
Sourcing:
- Support the recruiting team by building a pipeline of top talent candidates through multiple sourcing channels
- Execute on sourcing strategies, including leveraging your knowledge of organizations, platforms, and networks, to attract candidates.
- Research and generate target lists of companies and potential sources
- Support additional recruiting team initiatives as needed
- Work closely with Recruiters and hiring managers to deeply understand requirements of the role, the function and how it fits into the organization
- Engage and conduct basic phone screens
- Track and analyze data on sourcing and conversion efforts to understand the efficacy of sourcing strategies and drive improvements
- Manage work and talent through our Applicant Tracking , Greenhouse.
- Providing all candidates an exceptional and memorable experience at every touchpoint
Qualifications:
- Greenhouse ATS experience is required
- Strong attention to detail with a focus on maintaining data integrity and confidentiality
- Curious mind-set, that motivates you to look for more efficient methods of operation
- Experience in sourcing, building candidate pipelines, and tracking sourcing efforts is a plus
- Excellent organizational skills and the ability to prioritize multiple tasks and projects
- Familiarity with report generation and data analysis, with the ability to track key recruiting metrics and provide actionable insights
- Strong communication skills, both written and verbal, with a focus on creating a positive candidate and hiring team experience
- Ability to collaborate effectively with cross-functional teams, including Recruiters, hiring managers, IT, and People Team members
- Ability to manage scheduling logistics for candidates and interviewers, ensuring smooth coordination across the hiring process
- MS Office Suite – Excel, PowerPoint, Forms, SharePoint
Bonus qualifications:
- Digital Media knowledge / experience
- Vendor management experience, working with accounts payable department to set up purchase orders
- Confident presentation skills

- BA/BS degree preferred
