Job Description: Admissions Manager

Nema Health is a survivor and clinician led virtual center for PTSD & trauma care. Our mission is to guide trauma survivors at every step of their journey towards healing, starting first with the remote, intensive delivery of cognitive processing therapy (CPT). 

Nema is seeking an Admissions Manager, who will be our first member of the Admissions team, to help build out an essential function that is the front door to treatment at Nema. Nema utilizes a peer-led model, meaning Nema Peer Navigators will support the Admissions function in the early patient journey phases and take direction from the Admissions Manager. This person will strategize and execute on the vision for the function while conducting the Admission function day-to-day to empower trauma survivors to start care with us. This person will help envision the initial patient journey and optimize the clinical operations to enable Nema to successfully move them through the funnel. Once the function and processes have been stood up, the Admissions team will be primed to scale with Nema in a way that seamlessly and effectively kickstarts the healing journey for thousands of patients. 

The Admissions Manager will report to the Clinical Operations Director under the COO, and work closely with the Clinical Director, Chief Medical Officer, Head of Marketing, and Growth team, while collaborating cross-functionally to shape the patient experience at Nema and unlocking a process that allows trauma survivors to move through the early stage of the process successfully.

The Admissions Manager will:

Build out of the Admissions function:

  • Own development of early patient user journey and funnel while identifying resources and clinical ops processes needed to support it 
  • Create necessary patient communications flow along with the tools and platforms needed to bring it to life 
  • Roadmap team structure needed to support Admissions function at-scale inclusive of defining the Peer Navigators’ role who will play a key role to add capacity to Admissions

Day to day admissions management 

  • Guide the day-to-day Admissions function by supporting Peer Mentors in their ownership of patient intro calls and running intro calls as necessary for capacity and function ownership 
  • Develop Admissions messaging and necessary workflows for channel growth at-scale

Admissions reporting & insights  

  • Run point on data analytics and accountability for key Admissions KPIs including prospect conversion rate, contact rate, and occurrence rate, as well as the function’s OKRs 
  • Identify gaps in Admissions funnel with impact on business growth along with recommended test solutions while telling the story of what is and is not working 
  • Report out on weekly and monthly Admissions KPIs along with new initiatives and results for funnel improvement 
  • Devise actionable recommendations for leadership on how to prioritize efforts based on data

Qualifications

Required 

  • 5+ years working in healthcare services with an understanding of the key stakeholders and major trends
  • 3+ years in admissions roles 
  • Highly organized and can work autonomously in an early company environment; has an affinity for managing work streams from start to finish and driving next steps
  • Strong problem solver with a growth mindset; bias towards creating solutions that can scale and increase efficiencies
  • Strong analytical skills and data driven; very comfortable with quantitative analysis
  • Well rounded technical skills including high proficiency with Excel/Google Sheets  and working with datasets and data visualization tools (e.g., Looker) for analysis
  • Comfortable in a fast-paced environment, subject to rapid change and innovation
  • Eager to roll up their sleeves and execute while understanding how their work fits into the bigger picture; can ask the right questions to create quality output 
  • Adept and efficient at navigating new platforms and learning new skills
  • Outstanding interpersonal and communication skills, both written and verbal
  • Passionate about the company’s mission and operates from a company-owner mentality to make Nema successful
  • Ability to travel approximately once a quarter for week long team meet-ups

Preferred

  • 2+ years working in mental healthcare services with familiarity of the trends in the behavioral health space
  • 2+ years in a marketing or growth related function
  • 2+ years at an early stage startup (pre seed to series A for example)
  • Demonstrated experience in building out Admissions workstreams and identifying & solving for engagement needs 
  • Experience working with and building processes for Admissions patient journeys, comms flows
  • Experience with EHRs and/or CRMs

 


Nema Health is a seed stage company backed by top healthcare VCs. This is a full time, exempt, salaried position reporting to the Clinical Operations Director. Compensation will be determined by the candidate's experience, with a base salary range of $100,000-$120,000. The full-time compensation package will include competitive equity, unlimited PTO, a healthcare stipend, a 401(k) with matching, an annual work-from-home productivity stipend, an annual education stipend, and paid parental leave. This role is remote and the candidate can be located anywhere in the United States.
