The Clinic Assistant will be part of a team operating under the National Access Cannabis’ Medical (NACM) umbrella. Reporting to the Clinic Manager, the incumbent will be responsible for handling patient flow by greeting and helping them, scheduling appointments and maintaining records and accounts. The incumbent will also provide information regarding NACM services and ensure a friendly and welcoming patient experience.
What you will be doing:
Overseeing and assuming general administrative duties of the clinic and providing on-going support to the Clinic Manager and clinic staff.
Greeting all patients and visitors, both in person and on the phone in a courteous manner.
Answering phone and email queries politely and professionally.
Responsible for scheduling appointments and submitting patient files to health care practitioners.
Overseeing daily clinic operations including physicians and nurse scheduling and maintaining a positive and caring patient experience.
Supporting cannabis educators and assistants with patient intake & follow-ups as needed.
Ensuring the office is kept organized and clean and supplies are stocked.
Protecting patients' rights by maintaining confidentiality of personal and financial information and ensure proper patient filing and duties, in compliance with PIPEDA.
Providing the highest quality of patient care and support.
Maintaining operations by following policies and procedures.
Championing the culture of NACM and a positive work environment.
Other duties as and when required.
What you bring:
Excellent time management, ability to coordinate various functions simultaneously.
Excellent customer service skills and ability to communicate information in a professional, timely, and emphatic matter, both written and verbally
Operate with the highest standards of confidentiality and discretion.
Proficient in English along with strong written and oral communication skills.
Able to work independently and as part of a team.
Proven track record of working in fast paced, high pressure environments with the ability to prioritize.
Proficiency in Microsoft Office and EMR systems.
Experience in Input Health a distinct advantage
Minimum 12 months experience in an appointment-based healthcare environment
Self-motivated, with the ability to work independently and know when to seek guidance,
Tactful and discreet; ability to maintain a high level of confidentiality
Flexible with a “can-do” and “no task is too big or too small” attitude
Superior attention to detail and accuracy and excellent follow-up skills
Knowledge or interest in Access to Cannabis for Medical Purposes Regulations and Medical Cannabis
