Perform administrative duties for managers and departments requiring knowledge of company policies and procedures. Manage department projects and timelines. Provide reception area support such as receiving greeting visitors, answering and transferring incoming calls, distributing mail, .
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative assistance for the department.
Provide administrative support in the following functional areas:
Finance –perform daily bank deposit, and provide voucher attachments for LLC, PTY, LTD, GMBH, HK and SARL.
Sales and Marketing - Assemble academic literature packets for customer visits.
E-mail and fax invoice requests.
Receive visitors into the building.
Answer, screen and transfer incoming calls, record messages, send fax messages, and process and distribute incoming fax messages.
Process and distribute incoming company mail.
Process US and International mailings, including certified mail.
Maintain and order supplies for the company Office Equipment rooms.
Assist with ordering coffee and supplies for main kitchen and kitchenettes.
Maintain Minitab’s library including entering books, CD’s, into the library database.
Assists with onsite and offsite training/meeting events that may include catering needs, material preparation etc.
Assist with special projects as needed.
Distribute updated phone lists to all the required conference rooms and building locations.
Assist with stocking office, coffee, and kitchen supplies.
Serve as a back-up for petty cash reimbursement.
Provide administrative support to other departments as needed.
Other duties as necessary for the success of the Department.
EDUCATION, KNOWLEDGE, AND EXPERIENCE
Associate’s Degree focusing in Office Administration or closely related work experience.
3 or more years of experience as an administrative assistant.
Demonstrated experience in office administration.
QUALIFICATIONS, SKILLS, AND ABILITIES
Experience in Microsoft office products, Excel, Word, Office 365 in a Windows environment.
High aptitude for technology and internet research skills.
Ability to represent the company in a professional manner in writing, over the telephone, and in person.
Attention to detail and problem-solving skills.
High level of interpersonal skills to handle sensitive and confidential situations with diplomacy and tact.
Excellent time management skills and ability to multi-task and prioritize work.
Ability to bend, stoop, lift, and transport objects weighing 20 pounds.
Ability to speak, read, write, and understand the English language.
