Operations and New Business Project Manager  

About this role: 

As the Operations and New Business Project Manager at MATTE Projects, you will be at the forefront of driving operational excellence and spearheading growth initiatives within our agency. This multifaceted role merges business development, project management, and collaborative efforts to propel the success of key new business projects and operational objectives. Working closely with senior leadership, departmental teams, and external partners, you will streamline workflows, expand business ventures, run RFPs, and enhance operational efficiency within our dynamic and innovative environment.

Reporting directly to the Head of Agency Operations, your responsibilities will include:

New Business:

  • Collaborating with operations, new business, and client services teams to amplify our business presence and cultivate relationships with new or existing clients.
  • Developing and managing our B2B CRM database to build. track and analyze our roster of existing and potential clients
  • Ownership and management of Pre-Sale and RFI/RFP requests and other procurement processes as required by potential clients.
  • Gathering insights on potential clients and competitors to inform pitch teams and develop winning pitch strategies.
  • Overseeing the CRM system (e.g., HubSpot) to optimize client service success and brand communication strategies.
  • Proactively monitor and pursue opportunities for collaboration and sponsorship. 
  • Project management of Case Studies process.

Operations:

  • Support the development and implementation of streamlined processes and standard operating procedures (SOPs) to enhance efficiency, quality, and productivity agency-wide.
  • Evaluate operational processes and workflows to identify areas for improvement and optimization.
  • Support change management efforts to drive adoption of new processes and ensure successful implementation across the organization.
  • Translate strategic objectives into actionable plans and initiatives; Monitor progress, track deadlines, and provide regular updates to stakeholders on status.
  • Manage cross-functional teams and projects from initiation to completion, ensuring adherence to timelines, budgets, quality standards and risk mitigation.
  • Conduct post-project reviews to evaluate outcomes, capture lessons learned, and identify opportunities for future improvement.
  • Utilizing project management tools like AirTable to monitor project progress and provide timely updates/feedback to internal and external stakeholders.

Qualifications:

  • Project Management Certification required.
  • Experience working in Airtable is required or related Project Management software is required.
  • Proven track record of successfully managing complex projects from start to finish.
  • Analytical Skills: Excellent ability to collect, analyze, and interpret data to drive decision-making and measure performance.
  • Cross-Functional Collaboration: Demonstrated ability to collaborate effectively with cross-functional teams and external partners.
  • Communication Skills: Strong verbal and written communication skills to articulate complex concepts and influence stakeholders at all levels.
  • Change Management: Experience in change management principles and techniques to facilitate organizational change.
  • Problem-Solving Abilities: Proactive and solutions-oriented mindset to address challenges and drive continuous improvement.
  • Adaptability: Ability to thrive in a fast-paced, dynamic environment and adapt quickly to changing priorities and business needs.

Compensation Range: $110,000-$130,000/year based on experience
