Our firm is looking for a Spanish speaking Office Administrator to join our team. The Office Administrator is responsible for the administration of office processes and procedures including streamlining processes to improve efficiency and effectiveness. The person in this role will oversee the reception staff training, performance, and scheduling. The Office Administrator will handle a wide range of responsibilities and must be able to work in a team as well as independently. To be successful, the Office Administrator must possess effective communication skills, strong leadership skills, and ability to effectively interact with people from diverse backgrounds. This role is customer facing therefore, Spanish speaking is a requirement.
Responsibilities
Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting
Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing and shipping packages, and updating contact database and employee list
Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs for all staff
Organize maintenance requests, coordinate repairs, ensure appliances are in working order.
Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
Qualifications
Associate’s or Bachelor’s Degree preferred
High School Diploma or GED required
Bilingual English/Spanish required
Minimum 2 years of office management or lead experience
Ability to work independently and in a collaborative environment
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines.
Excellent communication skills and ability to build trust with all levels of staff
Pay Range: $21/hr-$23/hr
