At The Matian Firm, APC, Bilingual Administrative assistant is focused on understanding what people need and knowing how to provide it. We’re in search of a qualified and resourceful Bilingual Administrative Assistant to support our Dallas Client Intake Specialist Department. The Administrative Assistant will report directly to the Manager and Head of the Dallas Client Intake Specialists. The main objective of this team is to be the first point of contact with prospective clients, screen leads, and be responsible for obtaining case details that will allow the firm to determine if a case should be retained. Functions may include a variety of tasks including Data Entry, help manage general sales administrative activities such as creating reports and streamlining processes. This position must be staffed by an individual who is organized, detail-oriented, and works well with people. The person in this role must have flexibility to work Saturdays as needed in order to support the Intake Manager.

Responsibilities

  • Answer calls, take and deliver messages, and assist the team with general inquiries
  • Coordinate meetings and manage calendar for the General Manager
  • Book travel arrangements such as flights, transportation, lodging, etc.
  • Assist in monitoring performance of Intake department
  • Prepare and track weekly, monthly and quarterly reports
  • Create/format information for internal and external communication – memos, emails, presentations, reports
  • Take meeting minutes
  • Create forms/documents/checklists for Intake department
  • Create reports via Excel or Google sheets using spreadsheets/formulas, pivot tables, and data management
  • Make copies, scan documents, and enter notes in CLIO (CRM)
  • Ensure department has necessary supplies and resources for daily operations
  • Assist in monitoring/managing Firm Text Campaign
  • Provide other general support to Management as assigned

Qualifications

  • Bilingual (English/Spanish) is required
  • Weekend Availability is a required 
  • 1-3 years of executive administration experience, 
  • High level proficiency in MS Office (MS Excel, MS PowerPoint, MS Word)
  • Working proficiency with spreadsheets and formulas required
  • Case Management/CRM software experience is a major plus
  • Resourceful and motivated to solve issues as they arise
  • Customer service and sales attitude
