The President’s Office is seeking an Executive Assistant to the President/CEO. The Executive Assistant is a confident self-starter, detail oriented with the ability to manage and execute daily tasks to ensure the effective coordination of Mather’s business needs. Daily tasks which will support the President’s Office, the Board of Directors, and Mather’s senior leadership team. This role will not only be able to support Mather’s mission, and values but directly support a dynamic and innovative leader. Mather’s President and CEO is an award winning leader in the Luxury Senior Living industry; and nationally recognized for a focus on wellness standards and being an agent of change.
The Executive Assistant helps prioritize the CEO’s tasks and projects, enabling the CEO to focus on strategic decision-making and leadership responsibilities. This position is full-time, salaried, and located on-site at Mather HQ in Evanston, IL.
Essential Functions:
- Plans, coordinates, and manages calendars, events, and activities.
- Completes administrative assignments and assigned projects in a timely and accurate manner to ensure deadlines are met and objectives are achieved.
- Serves as a liaison between the President/CEO and internal and external stakeholders.
- Collects and prepares meeting materials and minutes for the Board of Directors and others.
- Researches relevant articles on governance for distribution to the Board of Directors.
- Updates Board orientation materials.
- Summarizes Board engagement survey results.
- Maintains organized electronic files related to President/CEO and Board functions.
- Assists President/CEO in developing/updating Excel spreadsheets.
- Serve as a liaison between the President/CEO and board members, facilitating effective onboarding, communication, and information flow.
- Manages and books travel arrangements.
- Writes and delivers correspondence on behalf of President/CEO.
- Processes invoices, credit card and expense reports, and audits.
- Oversee the daily operations of the President’s Office.
QUALIFICATIONS AND SKILLS:
- 5+ years of successful administrative experience supporting a CEO/c-suite leader
- Experience working with Boards
- Bachelor’s degree preferred
- Effective interpersonal, organizational, event planning, and multi-tasking abilities with attention to detail
- Proficient with Microsoft Office products including Word, PowerPoint, Excel, and Teams
- Strong written and verbal communication skills
- Ability to manage multiple priorities, projects, and competing demands
- High level of integrity, discretion, and professionalism in handling confidential information
- Strong written and verbal communication skills, with the ability to craft or edit professional correspondence and presentations
- Ability to work independently and as part of a team in a fast-paced, dynamic, and inclusive environment
The salary range for this position is a good faith estimate of the range Mather reasonably expects to pay for this position at the time of the posting. The actual wage paid to an individual will vary based on multiple factors, including but not limited to specific skills or certifications, years of experience, geographic location and market changes. Holiday Bonus eligibility, where applicable. The position is also eligible to participate in Mather benefit plans.
