Join our team as an administrative assistant and play a key role in supporting the senior leadership team which is called the Possibilities Team at Mather. At Mather, we are changing ways on how the society views aging and committed to creating Ways to Age Well SM.
The primary role of the administrative assistant is to increase the effectiveness and productivity of senior leaders who have oversight for Compliance and Risk Management, Community Initiatives and Mather Institute, Finance, and Human Resources.  This position is located on-site at HQ in Evanston, IL, will report to the Senior Vice President of Human Resources and support five leaders.

ESSENTIAL FUNCTIONS

  • Completes administrative assignments and assigned projects in a timely and accurate manner to ensure deadlines are met and objectives are achieved.
  • Plans, coordinates, and manages calendars (including corporate calendar), events, and activities.
  • Collects and prepares meeting materials and minutes, using dictation or other methods.  
  • Manages and books travel arrangements.
  • Writes and delivers correspondence on behalf of leaders.
  • Processes invoices, credit card and expense reports, and audits.
  • Prepares board materials, fillable documents, spreadsheets, and presentations as needed.
  • Greets visitors at Mather HQ, provides coverage for reception desk and office management, and other duties as assigned.

QUALIFICATIONS AND SKILLS:

  • Effective interpersonal, organizational, and multi-tasking abilities with attention to detail
  • Highly proficient with Microsoft Office products including Word, PowerPoint, Excel, and Teams
  • Strong written and verbal communication skills
  • Experience working with c-suite leadership
  • Ability to manage multiple priorities and competing demands
  • Ability to maintain confidential information
  • 5+ years of successful administrative support experience
  • Experience in luxury senior living space is a plus
