The Resource Coordinator plays an essential role in growing talent in our business through collaboration and sharing best practices with the Creative team. They know how to be curious about their opportunities and how to be real with feedback and support.

You’re comfortable coordinating multiple projects simultaneously, are hyper-organized, and you know the little details are just as important as the big ideas. You’ll need to be proactive, an expert at prioritizing, and work effectively with hard deadlines alongside a fast-paced, creatively diverse team. You are experienced in coordinating project schedules and enjoy collaborating and building consensus in a team.

The Resource Coordinator is responsible for the coordination of select projects within Brand and cross functionally with other departments. They will also be engaged in the finalization and programming of digital lightboxes within Retail and the provision of quality assurance support for all creative and marketing content. Key responsibilities include assisting with projects through the production phase of the creative process, resource allocation, scheduling and facilitating delivery of final digital lightbox assets, including support with proofing and quality assurance of creative assets.

Reporting to the Creative Operations Manager, the Resource Coordinator undertakes the following RESPONSIBILITIES:

  • Assist in balancing team expectations, business needs, and resources to ensure correct prioritization of cross-functional demands in the Brand Department
  • Coordinate multiple projects simultaneously from start to finish, ensuring successful project completion against deadlines. Projects include print, packaging, and digital
  • Estimate work efforts, define milestones and co-ordinate resources accordingly
  • Track progress, understand dependencies, and communicate status to management and project stakeholders
  • Proactively work to remove obstacles and enable forward momentum and progress
  • Coordinate allocation of hours based on project scopes and ensure projects are completed on time and within budget
  • Adjust, update, and communicate project plans as needed
  • Assist in the development of internal operating procedures to create efficiencies
  • Proofread all print and digital assets (in all languages) for the Brand department to ensure accuracy, consistency, and quality
  • Document and facilitate communication and troubleshoot issues and changes
  • Establish and support buyer and printer relationships and proof all content before final production
  • Oversee all content in digital lightboxes to ensure the correct priority of messaging
  • Develop content localization and testing plans for digital lightboxes
  • Proof and upload digital lightbox content (video and graphics) to the digital lightbox platform
  • Organize content playlists based on region, active campaigns, and current retail initiatives/ policies
  • Schedule and assign each shop to applicable playlists based on active campaigns, current events, etc.
  • Collaborate with retail support and the IT team for digital lightbox support


You bring the following QUALIFICATIONS:


  • 2-3 years of project management experience, ideally in the creative services industry
  • 1-2 years experience in quality assurance or similar field
  • Exceptional planning, time management, and organizational skills
  • Experience coordinating, facilitating and integrating high quality projects, including identifying stakeholders and driving deliverables to timeline
  • Strong interpersonal skills and ability to motivate people at all levels across a broad variety of job functions
  • Ability to gracefully balance multiple projects and quick-turn requests
  • Strong work ethic and ability to thrive in a collaborative team environment
  • Communicate clearly and effectively with Creative, cross functional groups and management
  • Knowledge of Adobe CS, specifically InDesign, Photoshop, Illustrator and Acrobat
  • Knowledge of tools, methods, and concepts of project management and quality assurance
  • Excellent communication skills, both verbal and written
  • Ability to work in a very fast-paced and pressured environment while remaining proactive, resourceful, and efficient


  • A post-secondary degree or equivalent in Marketing, Communications, Project Management, Quality Assurance or other related field
  • Print production management experience
  • Project management experience
  • Experience working on integrated marketing campaigns and content, in addition to production for retail
  • Background in a cosmetics industry would be an asset
