Role Summary: 

Hello Bello is looking for a detail-oriented and highly motivated Administrative Support Coordinator to oversee and coordinate all administrative activities at our new Fulfillment and Manufacturing facility in Waco, Texas. You will provide exceptional support to all facets of the business with the goal of ensuring the facility runs smoothly and efficiently on a daily basis. The Administrative Support Coordinator will be ‘the face’ of this facility and will need to have top notch business acumen, organization and interpersonal skills. 

Responsibility:

  • Responsible for assisting the HR Business Partner, Plant Manager, and other members of upper management with the daily operation of facility & warehouse systems
  • Coordinate office activities and operations to secure efficiency and compliance with company policies
  • Organizes multiple team events (birthdays, employee recognition lunches, work anniversaries, all hands meetings, etc.) 
  • Manage all appointments, interviews, travel arrangements, etc. for multiple team members and upper management
  • Manage all front office tasks including answering phone calls and correspondence (email, letters, packages etc.) greeting guests and employees, and help enforce safe covid protocols 
  • Support budgeting and bookkeeping procedures; may assist the accounts payable department as needed
  • Keep track of office supplies and place orders when necessary
  • Keeps HR Business Partner & Plant Manager informed of all irregularities, issues or problems encountered in the facility 

Qualifications:

  • 3+ years of experience in an Administrative and/or Office Support role 
  • Warehouse and/or industrial experience is preferred 
  • Must demonstrate strong overall computer literacy; excellent knowledge and hands-on experience with Microsoft Office Suite, Microsoft Excel and Google workspace
  • Strong sense of urgency; ability to take initiative and work under minimal supervision
  • Ability and willingness to manage multiple priorities and critical projects in a fast-paced, high-volume environment
  • Exceptional interpersonal and communication skills; experience creating partnerships with multiple departments and members of upper management 
  • Solution-oriented; eagerness to solve problems as they arise
  • Highly organized with a “can do” attitude; hungry to learn and get the job done
  • Experience working with IT department(s) is highly preferred; may assist with new hire desks and computer setup, printers, copiers, etc.
