What you'll do:

  • Manage Travel Desk for Senior Leadership: Coordinate and organize travel arrangements for senior leadership, including flight bookings, hotel accommodations, and ground transportation. Ensure all travel requirements are met with a focus on convenience, cost-effectiveness, and efficiency. Handle any last-minute changes or issues related to travel plans for executives.
  • Manage Events, and Other Office Engagement Bookings: Organize and oversee the planning of events, meetings, and lunches, ensuring that all logistics, including venue booking, catering, and equipment, are arranged. Collaborate with teams to understand event requirements and ensure all elements are in place for successful execution. Manage calendar scheduling for various engagements and ensure timely execution.
  • Vendor Management: Liaise with external vendors for services related to travel, events, office supplies, and other administrative requirements. Ensure vendors meet quality standards, deadlines, and budget requirements. Negotiate terms and agreements with vendors to secure the best rates and services for the company.

What you'll need:

  • Proficient in Windows and PowerPoint (PPT): Well-versed in using Windows operating systems and Microsoft PowerPoint to create presentations, manage documents, and perform other tasks efficiently.
  • Basic Knowledge of IT and Vendor Registration: Familiarity with basic IT operations and software tools used for administrative purposes. Knowledge of vendor registration processes, ensuring vendors are compliant with company requirements and regulations.
  • Prompt Response and Accountability: Demonstrates the ability to respond quickly to requests, maintaining a high level of professionalism. Takes accountability for tasks, ensuring that deadlines are met, and issues are resolved promptly.
  • Enthusiastic and Proactive Approach: Brings a positive, enthusiastic attitude to every task, willing to go the extra mile to ensure the success of events and day-to-day operations. Takes initiative to identify and address needs proactively, ensuring smooth execution of all responsibilities.
