As a Project Coordinator within our Project Management Office (PMO), you will play a pivotal role in ensuring the successful execution of client-facing IT integration projects. You will work closely with project managers, clients, and cross-functional teams to facilitate project planning, execution, monitoring, and reporting. This role requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment. 

 

How you will make an impact  

  • Collaborate with project managers to develop project plans, timelines, and schedules. 
  • Assist in the identification of project tasks, dependencies, and resource requirements. 
  • Coordinate meetings and other project-related activities. 
  • Serve as a primary point of contact for clients, providing regular updates on project progress and addressing any concerns or queries. 
  • Facilitate communication between internal teams, clients, and third-party partners. 
  • Prepare and distribute project status reports, meeting minutes, and other documentation as required. 
  • Proactively identify project risks and issues, escalating them to the project manager for resolution. 
  • Assist in the development and implementation of risk mitigation strategies. 
  • Maintain risk and issue registers, ensuring they are regularly updated and communicated to relevant stakeholders. 
  • Coordinate the allocation of resources, including team members and external vendors, to ensure project tasks are completed on time and within budget. 
  • Track resource utilization and assist in resource forecasting for future projects. 
  • Assist in the development and execution of quality assurance processes to ensure deliverables meet client expectations and project objectives. 
  • Conduct regular reviews and audits of project documentation and deliverables to ensure compliance with standards and requirements 
  • Identify opportunities for process improvements and efficiency gains within the project management function. 
  • Contribute to the development and implementation of best practices, tools, and templates to enhance project delivery capabilities.  

 

What you need to be successful  

  • 3+ years of experience in an administrative, operational or project support role 
  • Strong computer skills, proficiency in using MS Office software (Excel, Microsoft Project, PowerPoint, Word, etc.) 
  • Excellent verbal and written communication skills 
  • Excellent organization and planning skills required 
  • Quality focused 
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial 
  • Excellent time management skills and ability to multi-task and meet deadlines 
  • Extremely detail and task oriented 
  • Critical thinking, inquisitive mind, and enjoys problem solving 
  • Self-starter with ability to work independently with minimal supervision 
  • Bachelor's degree preferred. 
  • Experience using various methodologies (ex. Waterfall, Scrum, Kanban)
