About the Role:

The purpose of this position is to provide support to Finance & Operations function that helps daily administration of the organization

 

  1. Key Responsibilities (80% of Time)

1.1 Facilities

  • Ensuring smooth functioning of the workspace (office) including renewals and logistical requirements (Stationary, Food & Supplies, internet/Wi-Fi etc).
  • Leading rental agreement renewals, negotiations etc.
  • Arrangements for meetings rooms as and when required.

 

 

1.2 Employee Administration & Assistance

  • Ensuring email and other system’s access for new recruits of the organization.
  • Running background checks for the new members.
  • Onboarding for new recruits on the organizational systems, guidelines, operations, policies and procedures including welcome them on their first day.
  • Review and preparation of SOPs for smooth functioning of Fin-Ops department of the organization.
  • Liasion with It team for any troubleshooting
  • Liaison with Insurance companies for renewals, additions and exits for team members.
  • Ensure the compliance of HR and financial policies and procedures.
  • Leave management for employees monthly and sharing monthly leave data with finance team.

 

 

1.3 Asset, Equipment and Logistics management

 

  • Managing all procurements and ensuring compliance with organization policy.
  • Ensuring coding or tagging of assets and equipment.
  • Arranging shipments, pick-up courier etc. for the organization.

 

1.4 Travel & Vendor Administration

 

  • Travel management for the team. (in-house or through external vendor)
  • Support team in planning, logistics and management of meetings, workshops and training. (in-house or through external vendor)
  • Manage contracts and vendor billing and payment related processes
  • Onboarding new vendors with policies of the organization
  • Maintaining and updating contract tracker for timely renewals of the agreements.
  • Support Finance team during audits or external due diligence as and when required.

 

  1. Other Responsibilities (20%)
  • Support Country Director as EA for meetings, travel & logistical support.

 

Essential requirements

  • A bachelor’s degree in finance / administration with a minimum of 5 years of experience in an administrative position.
  • Track record in completing administrative and operational tasks with professionalism, a high degree of accuracy and efficiency.
  • Strategic planner with strong attention to detail and aspiring high standards in all outputs
  • Exceptional writing, public speaking, data review skills
  • Effective communication skills in English.
  • Excellent working knowledge of google workspace Microsoft Office and rendering tools.
  • Excellent collaboration, problem solving skills, ability to priorities a diverse and demanding workload
  • Exceptional interpersonal, networking abilities.
  • Meet deadlines consistently
  • Time management skills, Self-starter who can identify and complete tasks with minimum supervision
  • Ability to travel to project locations on need basis. (very rarely)

Desirable experience and qualities

Basic knowledge of financial procedures and compliances.
