Overview: 

We are looking for an Executive Assistant(Temporary) to join our team!

This role will provide support to our US CEO. The right candidate will be a go-getter who has experience handling confidential matters and thrives in a fast paced, deadline driven environment. This person will anticipate needs, empower the US CEO and contribute to the organization’s success.


Responsibilities:

  • Organizational skills: Proactively manage calendars with strong attention to accuracy, detail, and allocation of time to promote productivity and anticipate the need to re-prioritize as appropriate
  • Multitasking: Respond to requests for information from clients, account staff and other agency employees in a professional and timely manner
  • Budgeting: Provide support on budgets and expensing
  • Identify operational weaknesses and help enhance processes or develop new ones
  • Communication support: Provide support on presentations and agency meetings
  • Communication skills: Clear and concise communications is critical. EA’s interact with colleagues, stakeholders and external parties.
  • Collaboration: Collaborate with other members of the admin and facilities team to provide seamless support. Foster positive relationships with all levels of employees
  • Logistics: Support executive when he/she is traveling in terms of travel logistics, flagging important emails, reviewing/sorting e-mail and regular correspondence and route materials as needed
  • Interpersonal skills: Cultivate and apply strong organizational and interpersonal skills, including the ability to juggle multiple assignments and cope with stressful situations


Qualifications: 

  • BA degree preferred or equivalent work experience
  • Must have exceptional Excel skill and strong financial acumen
  • A minimum of 5 years of prior Executive Assistant level experience supporting more than one senior level executive
  • Experience working in a consulting, PR, marketing, advertising, digital agency environment a plus
  • Highly organized with a strong attention to detail
  • Capable of handling multiple assignments simultaneously
  • Strong computer skills including, but not limited to PowerPoint, MSWord, MS Teams, Excel and Outlook
  • Excellent written and verbal communication skills a must
  • Ability to work independently with a high level of accuracy
  • Ability to work with confidential, sensitive issues in a professional manner to many levels of internal and external sources
  • Willingness to handle any detail, no matter how small, to ensure the executive’s needs are handled smoothly and efficiently
  • Must have the professional maturity required to deal with potentially sensitive information requiring tact, diplomacy, discretion and judgment
  • 3-days in the office. In the office when the US CEO is in the office
  • New York City based and eligible for OT

 

The salary range for this position is $40/hr - $45/hr. The salary of the finalist selected for this role will be based on a variety of factors, including but not limited to, education, years of experience, past training, skills and abilities of applicant, internal equity and local geographic market data.  A range of medical, dental, vision, 401(k) matching, paid time off, and/or other benefits also are available.
