We’re in search of a Creative Services Associate who is motivated, organized, and adaptable.

What you’ll do:

  • Support Creative Services Manager:
    • In tracking incoming creative job requests
    • In tracking Creative team bandwidth (Daily Creative Lap and team check-ins), availability, vacation, and sick time
    • In tracking freelance hours, assignments, and bill-ability reports
    • To act as the frontline in fielding freelancer and FTE admin questions (Holiday Time, Sick Leave, Peoplesoft time sheets, job numbers, directing IT questions, etc.)
    • To expedite the inevitable “rush jobs”
    • With new department initiatives involving the integrated KERN-Javelin Creative team
  • Work with Creative Services Manager and Finance to ensure Creative time sheets are in on time each week (before 10AM PST Monday mornings)
  • Interface with Workflow team for Creative support (20%)
  • Ensure smooth communication and information hand-off between candidates and the KERN team
  • Interface with Account to obtain all project details for each creative job request, including reference assets, dyelines, resource files and previously created templates
  • Assist in the closing out and archiving of creative projects
  • Work to help improve the digital workflow systems and propose fixes or efficiencies
  • Train job submitters to how the Creative Job Request system works and help improve efficiencies in the request process
  • Co-manage KERN social accounts and keep updated with current events (e.g., Black History Month, International Women’s Day)

  • Possess a highly organized approach to work with ability to prioritize workloads and manage multiple projects simultaneously
  • Have a strong sense of urgency while maintaining an incredible attention to detail
  • Strong interpersonal skills; excellent verbal/written communication and organizational skills
  • Self-motivated, capable of working with minimal guidance and supervision
  • Discretion in handling confidential materials and issues
  • A team first attitude and willingness to step in wherever needed

What you’ve done:

  • Minimum of 1-3 years of relevant experience
  • College degree and/or relevant creative project management experience
  • Experience working in creative in-house, agency or equivalent environment
  • Project management experience or prior traffic management experience
  • Familiarity with workflow of print and web creative projects
  • Organizationally savvy and can-do attitude. Proactive and organized liaison between creative, brand and marketing teams to facilitate workflow of creative projects
  • Familiarity with Microsoft Suite tools, Microsoft Teams, Adobe Creative Suite (Photoshop, Illustrator, XD, Premiere, AfterEffects, FreeHand), BOX, Workfront, Greenhouse, and working remotely
