The Opportunity:

Work with the Project Manager (PM) to ensure projects run smoothly by coordinating and maintaining information, contracts, documentation, and files. This role is also responsible for assisting with general office administration duties and special projects as required.

Here's what you’ll be doing at Kasian:


  • Assist with preparing, coordinating, printing, distributing, tracking, filing, and archiving project delivery and construction phase administration files and documents throughout the project life cycle including fee letters, design contracts, project correspondence, bid packages, specifications, schedules, construction contracts, shop drawings, RFIs, site instructions, CCNs, change orders, building permits, invoices, projected revenue reports, staffing reports, etc.
  • Work with PM to monitor and track project work plan, schedule, WIP, and financial reporting updates in MS Project and Excel
  • Organize, administer, and maintain project portal and electronic and hard copy filing systems for project delivery and construction phase administration information, reports, documents, and other materials
  • Liaise with clients, contractors, and authorities to coordinate tender packages; work with the PM to assist in the bid analysis process 
  • Coordinate drawing uploads to file transfer program site
  • Coordinate construction phase progress claim reviews and assist in preparing certificates for payment
  • Create Kasian labour/disbursement backup spreadsheets 
  • Assist in the review of weekly AR reporting and follow up as required by PM
  • Track project related costs and invoices including consultant invoices as required by PM and Project Accountant
  • Mockup and review invoices
  • Complete PM’s expense reports and assist with drafting letters 
  • Coordinate meetings and take minutes
  • Assist administration team and reception on an as needed basis

Here’s a little bit about you:

  • Business Administration Certification or related Diploma 
  • At least 2 years of related project administration experience 
  • Construction or industry-related experience as an asset
  • Advanced computer skills (MS Office: Word, Excel), MS Project is an asset
  • Excellent written and verbal communication skills
  • Excellent time management and organizational skills including the ability to multitask and prioritize
  • Ability to work under pressure, follow timelines, and meet deadlines
  • Detail-oriented
