The Executive Business Administrator provides confidential administrative support to one or more Senior Leaders by managing their correspondence, contacts, documentation, files, schedule, calendar, and travel; organizing information and meetings; preparing communications and other administrative responsibilities.
Key Functions and Duties
- Arrange, prepare for, and attend meetings, record and distribute minutes and/or reports, and track action items as required
- Prepare, produce and edit correspondence, reports, and presentations
- Facilitate ongoing and open communication with the staff and internal and external clients to set up meetings and follow up on deadlines, commitments, and pending matters
- Review, prioritize and distribute business correspondence (e-mail or letter formats), reports, and information
- Manage business calendars and diaries with attention to the department or personal deliverables and priorities
- Plan and organize retreats, seminars, and business meetings as required
- Organize and maintain storage and retrieval systems for information, reports, documents, files, and other materials through electronic or physical filing
- Coordinate travel arrangements including accommodation, transport, itinerary
- Prepare and submit business expenses as needed
Minimum Requirements |
- Diploma or Degree in a related field (communications; business administration; project management) or equivalent
- Advanced MS Office skills (Excel, Outlook, PowerPoint, and Word)
- Excellent communication skills (oral and written) including tact and diplomacy
