About The Role

The role of the Administrative Assistant is crucial in facilitating executives' concentration on strategic objectives by effectively handling administrative duties. Drawing upon your proactive, resourceful, and impeccably organized abilities, this position ensures that executives can excel within a dynamic setting. Exhibiting a proven initiative-taking stance and the foresight to anticipate requirements, recognize areas for enhancement, and take proactive steps, the Administrative Business Partner delivers comprehensive administrative assistance. Tasks encompass calendar management, meeting coordination, and precise and professional handling of various responsibilities. Outstanding communication prowess, meticulous attention to detail, and the preservation of confidentiality are imperative. Operating within a high-paced environment, this role excels in multitasking and is dedicated to fostering executive achievements.

The Administrative Assistant will also play a key role in planning, organizing, and executing various events for our company. Your responsibilities will include coordinating logistics, managing timelines, communicating with vendors and stakeholders, and ensuring that events run smoothly from conception to completion. This position requires strong organizational skills, and the ability to thrive in a fast-paced environment. What You’ll Do

Administrative Assistant (50-60% of time)

  • Manage complex calendars, schedules, and travel arrangements for executives, including coordinating meetings and appointments.
  • Efficiently prepare expense reports for executives, ensuring accuracy, compliance, and timely submission.
  • Act as the primary point of contact for internal and external stakeholders, maintaining professionalism and discretion.
  • Prepare and edit correspondence, presentations, and reports for the executive team.
  • Organize and prioritize incoming communications for timely responses.
  • Maintain accurate records, files, and databases for easy information access.
  • Manage confidential information with discretion and adhere to strict protocols.
  • Anticipate executive needs and proactively address potential issues.

Event Coordinator (40-50% of time)

  • Manage event budgets and expenses, ensuring cost-effective planning and adherence to financial guidelines.
  • Assist with special projects and initiatives assigned by executives.
  • Schedule offsites and plan events for the company.
  • Proactively reward employees for accomplishments and send out gifts on behalf of leadership.
  • Collaborating with clients or stakeholders to understand event requirements, objectives, and budget.
  • Developing event concepts, themes, and timelines.
  • Securing venues, vendors, and necessary equipment or services.
  • Negotiating contracts and agreements with vendors and suppliers.
  • Creating detailed event plans and schedules.

What We’re Looking For

  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, including proficiency in business correspondence.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and trustworthiness in handling confidential information.
  • Adaptability and flexibility to work in a fast-paced environment and manage multiple priorities.
  • Strong attention to detail and accuracy in completing tasks.
  • Professional demeanor and interpersonal skills to interact effectively with diverse stakeholders.
  • Experience solving problems and developing creative solutions to issues and challenges.
  • Proactive approach to work 
  • Project management/coordination and event planning experience a plus
  • This position is fully remote; however, this role requires candidates to reside in the Eastern Time Zone to be considered.
