We are seeking a highly organized and resourceful Firm Administrator to oversee the seamless operation of our firm's human resources, financial administration, IT coordination, office management, and tax processes. The ideal candidate will have a proactive approach to problem-solving, excellent communication skills, and the ability to manage multiple priorities with a focus on efficiency and accuracy.
Key Responsibilities:
Human Resources Management
- Manage payroll processing and track employee benefits
- Oversee onboarding and offboarding processes
- Coordinate insurance and benefits contract renewals or modifications
- Handle employee evaluations and facilitate salary adjustments
- Support limited recruiting efforts through outsourcing partnerships
Financial Administration
- Process and pay incoming invoices, ensuring accurate documentation for tax and financial reporting
- Review and assess vendor contracts and manage renewals
Information Technology Coordination
- Serve as the primary liaison with the firm’s IT vendor and other technology providers
- Collaborate with outsourced IT resources to resolve technical issues
- Manage access for leased employees and contractors, ensuring compliance with security protocols
- Track and renew IT-related contracts and assist in evaluating and implementing new technologies
Office Operations Oversight
- Supervise client billing and collections processes
- Deposit checks received via mail and maintain accurate financial records
- Prepare management reports on firm profitability, employee costs, and client activity metrics
- Manage the onboarding process for new clients
Tax Process Administration
- Coordinate the preparation and execution of engagement letters and proforma tax returns
- Track due dates and prepare client organizers and information requests
- Oversee electronic and paper filing of tax returns, client support, and document management
Qualifications:
- 5+ years supporting a CPA firm
- Proven experience in office administration, human resources, or financial operations, preferably in a professional services environment
- Strong proficiency in Microsoft Office Suite and familiarity with accounting or tax software
- Excellent organizational and time-management skills with attention to detail
- Strong communication and interpersonal skills to liaise with internal teams, clients, and vendors
- Ability to manage sensitive information with a high degree of confidentiality
- Ability to work on PST time zone
