Position: Office Manager
We are seeking a dedicated and experienced Office Manager to join the medical office of Dr. Brook. The Office Manager will play a crucial role in overseeing the clinic's administrative operations, ensuring efficient workflow, and providing support to staff and patients. The ideal candidate will have a strong background in healthcare administration, exceptional organizational skills, and a passion for delivering high-quality patient care.
Job Responsibilities
- Assist with various administrative tasks, including answering phones, scheduling appointments, and managing patient records.
- Greet patients, verify insurance information, and assist with the registration process to ensure accurate and timely check-in.
- Maintain cleanliness and organization in the front office area, including keeping waiting rooms tidy and well-stocked with reading materials.
- Serve as a point of contact for patients, providers, and staff, relaying messages and inquiries promptly and professionally.
- Assist with the filing, scanning, and updating of patient medical records in compliance with HIPAA regulations.
- Monitor inventory levels of office and medical supplies, restocking as necessary to ensure smooth clinic operations.
- Work closely with medical assistants, nurses, and providers to coordinate patient care and facilitate efficient workflows.
- Participate in training sessions and professional development opportunities to enhance skills and knowledge in healthcare administration.
- Compliance: Adhere to all relevant healthcare regulations and clinic policies, maintaining confidentiality and always protecting patient privacy.
Qualifications:
- High School diploma required, associate degree preferred
- Minimum of 1 year of medical office or practice management experience
- 3 years of customer service experience required, experience in a medical office setting preferred
- Strong organizational and time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor when interacting with patients and colleagues.
- Basic computer skills, including proficiency with Microsoft Office applications (Word, Excel, Outlook).
- Knowledge of HIPPA Regulations and ability to ensure compliance
- Attention to detail and accuracy, particularly when handling sensitive patient information and medical records.
- Willingness to learn and adapt to new tasks and responsibilities as needed.
- Previous experience in a healthcare or customer service setting is a plus but not required.
- Compassion, empathy, and a genuine desire to contribute to the well-being of patients and their families.
Salary: $25-30/Hour
Schedule: Flexible, Monday-Friday 20-24 hours a week
