Sr Talent Specialist

In a Nutshell:

IDEO is in search of a Sr Talent Specialist on a part-time basis (20 hours per week) who will partner with the Talent & Finance Teams in London to help deliver a stellar Talent offering. We are especially excited to meet candidates with a strong startup, creative agency, or B2B professional services background. This role will work closely with the Local and Global Talent Team, Finance Team, Local Hub Employees & fellow operations team members within IDEO’s infrastructure.

The successful candidate must be based in the UK and have the unrestricted right to work in the UK. Unfortunately, we are unable to offer sponsorship for this role. IDEO proudly supports flexible work.

Once here you will:

HRIS and Systems Management  

  • Responsible for maintaining our HRIS (Workday)
  • Own onboarding, offboarding and “return from leave” processes by entering details into our HRIS, completing relevant paperwork, coordinating between teams and scheduling relevant meetings
  • Support with employee relocations and application documents for visa and immigration cases
  • Create and maintain templates and tools for the Talent Team team to use, and recommend / design process improvements to better support our processes
  • Support the recruitment process, preparing new hire paperwork and ensuring all paperwork is completed, signed, checked for accuracy and filed appropriately
  • Coordinate with members of the community including Tech, Experience, Coordination etc. to ensure that our processes run smoothly
  • Support the Talent Director in running our annual performance process (Journeys), including preparing data, preparing salary increase letters and systems updates in Lattice
  • Work in collaboration to assist the Talent Director in administrative tasks, employee support, and various project implementations as appropriate


Employee Requests and Verification 

  • Be the Gatekeeper for our Talent Helpdesk ticketing system; responsible for responding to and triaging employee requests as appropriate
  • Complete and verify employment references, employee relations documentation, visa/immigration changes, and maintain employee files
  • Fulfil requests for updates to employee records and reports from our HRIS including leaves and absence management
  • Answer employee requests and questions regarding employment changes, and troubleshoot any systems issues with our ERP team
  • Handle verifications of employment for past and current employees


HR Project Support 

  • Ensure HR Policies are current and relevant, and support with Policy updates where necessary. Liaise with the Global Talent Team regarding maintenance of our Employee Handbook (BBOI).
  • Support with Local L&D programmes where necessary, including individual L&D budget management


Reconciling and Data Hygiene

  • Ensure that our employee files, visa documentation, HRIS (Workday) and other data sources are accurate and up to date (among other compliance related requests)
  • File documents into appropriate employee records and help with our efforts to maintain data hygiene
  • Support the Talent Director with documentation & file organisation as needed



Qualifications / Experience:

  • 3+ years of experience in an HR generalist or similar customer service focused role
  • Good discretion­ – demonstrates sound judgement in dealing with confidential dialogues and information
  • Strong written and verbal communication skills
  • Enthusiastic and motivated self-starter who is not afraid to ask questions and has a natural focus on making things happen
  • Works well with a variety of working styles and personalities
  • Proven ability to manage and prioritise multiple searches and projects
  • Excellent organisational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Experience with Workday, Lattice, AdobeSign, HR ticketing are a plus
  • Strong Excel skills are a plus
