In a Nutshell:

IDEO is in search of a Payroll & Benefits Lead on a part-time basis (15 hours per week) who will partner with the Talent & Finance Teams in London to help deliver on our payroll & benefits requirements. We are especially excited to meet candidates with a strong startup, creative agency, or B2B professional services background. This role will work closely with the Local and Global Talent Team, Finance Team, Local Employees & fellow operations team members within IDEO’s infrastructure.

The successful candidate must be based in the UK and have the unrestricted right to work in the UK. Unfortunately, we are unable to offer sponsorship for this role. IDEO proudly supports flexible work.

Once here you will:

Own Payroll & Benefits in London and other EU locations 

  • Responsible for accurate and timely payroll run for UK employees (and Employer of Record locations), in compliance with local tax and payroll regulations
  • Maintain payroll systems and records 
  • Administer employee benefits programs, including health and travel insurance, pensions, and other Benefits initiatives.
  • Own P11D Management and benefits reporting
  • Manage internal and external payroll audits
  • Collaborate with the Talent Team and other departments to implement system modifications to improve efficiency and document the payroll process and procedures.
  • Be the main point of contact for benefits providers including pension provider, private healthcare, insurances, cyclescheme, childcare vouchers, mental health support, HMRC and our external brokers
  • Own the annual benefits renewal processes in collaboration with Finance, Leadership and the Talent Director
  • Stay updated with industry best practices and emerging trends in payroll and Benefits management.
  • Provide general administrative support to the HR team as needed.

 

Employee Requests and Verification

  • Answer employee requests and questions regarding benefits and changes, and troubleshoot any issues
  • Be a listening ear ready to address employees’ queries (e.g. on tax, compensation or the process for requesting a paid leave of absence)
  • Support employees with payroll questions
  • Provide advice and counsel to Business Leaders regarding compensation and benefits and policy 
  • Educate and empower employees navigating life events, leave of absences and be an escalation point for benefit or compensation questions


Policy Updates

  • Ensures current payroll practices are in compliance with company policy and governance requirements and that they align with legislative requirements including data privacy and protection
  • Manage the design and implementation of necessary HR policies for our UK and EoR employees related to topics ranging from taxes to benefits
  • Proactively surface issues or exceptions to policies to appropriate team members to ensure timely action is taken to evolve further issues


System Operations and Reporting

  • Drive, review and audit work performed by your function, including auditing payroll data, ensuring accurate salaries, tax withholdings, deductions,  end-of-year payroll tax and reporting compliance
  • Develop, drive and report on key metrics for the function
  • Assist in statutory financial reporting and audits
  • Ensure data hygiene of employee records and help with our efforts to maintain 



Qualifications / Experience:

  • 6+ years of Payroll & Benefits and / or HR Operations Experience
  • Working understanding of HR principles, practices and procedures
  • Exceptionally organized with high attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Payroll experience end to end
  • High degree of confidentiality and sensitivity for employee information
  • Proficiency with G-Suite and Slack
  • Strong Excel data cleanup skills (primarily v-lookup and pivot tables) are a plus
  • A proven track record, with significant experience and evidence of success, working in HR Operations or HR Shared Service environments with an understanding of what good looks like in terms of supporting onboarding, payroll, and employee benefit programs.
  • Strong working knowledge of HR Systems such as Workday 
  • Continuous improvement outlook to enhance the HR delivery service, automate our processes and improve our overall efficiency
  • Strong analytical skills with high attention to detail and accuracy
  • Understanding of payroll and legal requirements
  • Extensive knowledge of the payroll function including preparation, balancing and payroll taxes.
  • Good discretion­ – demonstrates sound judgment in dealing with confidential dialogues and information
  • Strong attention to detail to effectively check analysis and documentation
