ABOUT THE ROLE 

A Student Admissions and Outcomes Associate is a vital role within educational institutions, responsible for managing various aspects of the student admissions process and tracking student outcomes. 

This role is integral to the smooth functioning of our Education Operations, blending administrative aptitude, technical troubleshooting, and effective inter-departmental coordination. The ideal candidate will possess a unique blend of technical knowledge and customer service expertise, ensuring that our admissions review process and educational outcomes are efficient, accurate, and user-friendly. 

This role involves managing their own work in the application review process, and student outcome achievements verification process, including processing applications, conducting reviews, maintaining accurate records and responding to enquiries from internal and external customers in a timely and efficient manner. 

The Student Admissions and Outcomes Associate will be responsible for ensuring that all administrative tasks are completed accurately and in line with the rules and regulations of the organisation. 

The Student Admissions and Outcomes Associate will also be required to provide excellent customer service to prospective and current students to ensure that all enquiries and applications are dealt with promptly and professionally. 

This role requires strong organisational and communication skills and an understanding of the admissions and governmental achievement regulations process. They must be able to communicate effectively, be detail-oriented, have excellent organisational skills, have a keen aptitude in data handling and analysis and be proficient in managing large data sets, as well as to be able to multi-task efficiently. 

This role requires strong technical competencies required to ensure the Education Operations team are trained on the student-facing systems and  processes, and that inter-departmental cooperation works towards improving the student experience from onboarding through to graduation for all our education offerings. The ability to work under pressure and to deadlines is essential.

 

RESPONSIBILITIES

1. Admissions Process:

  • Application Management: Handle incoming applications assessments and student right to work/entry, ensuring they are complete and accurate.
  • Conduct Code reviewing for Rudimentary Python3 + HTML5 + CSS3 concepts as featured in HyperionDev Trials.
  • Collaborating closely with the Admissions team to provide mentor support to all HyperionDev candidates.
  • Communication: Correspond with prospective students regarding application status, required documents, and deadlines.
  • Application Review: Assist in reviewing applications and determining eligibility based on established criteria.

2. Data Entry, Maintenance and Quality Assurance:

  • Maintain accurate records of student enrollment, admissions, and related data.
  • Generate reports on admissions, enrollment, and educational delivery metrics.
  • Participate in quality assurance processes related to admissions and educational delivery.
  • Implement improvements based on feedback and data analysis.

3. Student Support:

  • Guidance: Provide guidance and support to prospective students throughout the admissions process, addressing questions and concerns.
  • Assist admitted students with the enrollment process, including providing information on program requirements, criteria, and other relevant details.
  • Address inquiries and concerns from prospective and admitted students.
  • Work closely with academic departments to understand program requirements and admission criteria.
  • Coordinate admissions activities in alignment with program offerings, leveraging technical skills for efficient operation.

4. Outcome Verification and Tracking:

  • Ensure timeous and successful verification of student outcomes submissions. 
  • Monitor and track student progress towards successful outcome submissions.
  • Ensure that outcome verification processes adhere to institutional policies, industry regulations, and accreditation standards. 
  • Conduct quality assurance checks to validate the integrity and reliability of outcome data.
  • Collaborate with career services, and student support staff to assist students in achieving their academic and career goals. Provide guidance and resources to students regarding outcome reporting requirements and opportunities for advancement.
  • Communicate outcome verification procedures, requirements, and deadlines to students, faculty, and staff. Serve as a point of contact for inquiries related to student outcomes and provide timely assistance and support as needed.
  • Maintain accurate records of student outcomes and related documentation.

5. Compliance and Documentation:

  • Regulatory Compliance: Ensure compliance with relevant laws, regulations, and institutional policies governing admissions and student records.
  • Documentation: Maintain accurate and confidential records of student admissions, enrollment, and outcomes in accordance with data privacy standards.
  • Create and Maintain documentation relating to process and policy of outcome verification and due diligence. 

6. Collaboration:

  • Collaboration: Collaborate with the entire Education Operations as well as Graduate Outcomes teams to streamline processes and enhance the student experience.
  • Cross-Functional Projects: Participate in cross-functional teams and projects aimed at improving student recruitment, retention, and success.

Overall, the role of a Student Admissions and Outcomes Associate is pivotal in ensuring a smooth and transparent admissions process while supporting student success from enrollment to graduation and beyond.

REQUIREMENTS

Minimum

  • At least 1 year edtech (online education) industry experience
  • 1–3 years of customer service experience in admissions, student services, or related areas within higher education.
  • Proficient in the use of the following technologies: Python3+ HTML5 + CSS3
  • Experience working in a startup environment or similar fast-paced, dynamic environment.
  • Strong coordination and technical skills to collaborate with Engineering teams, data teams and delivery.
  • Experience working with cross-functional teams, such as admissions, education, delivery, product, and engineering.
  • Strong organisational, communication, and interpersonal skills.
  • Proficiency in database management, data analysis, and reporting tools.
  • Knowledge of relevant laws, regulations, and ethical standards in higher education admissions and student affairs.
  • Any previous experience in career coaching and/or guidance.

Preferred 

  • Knowledge of relevant software tools and platforms, such as project management software, Google Suite and Zendesk.
  • Good time management, prioritisation and multitasking abilities
  • Excellent interpersonal skills to build strong relationships with colleagues
  • Effective communication, including speaking, writing and active listening
  • Able to give and receive feedback and constructive criticism from a variety of channels
