Job Summary: 

Hello Alice seeks full-time Grants Associate to support the administration of Hello Alice grant programming.  In the last year, Hello Alice distributed over $21M in grant funding directly to small businesses in partnership with organizations such as eBay, Amazon,, SIA Scotch Whiskey, the NAACP, UBS, BGE, KKR, Vistaprint, Bacardi, BEYGood Foundation, and more. You’ll report directly to the Director of Grants Administration. 

Role and Responsibilities: 

Here’s what you’ll be working on day-to-day, but as a nimble organization that puts our small business community at the forefront, flexibility is key, and other responsibilities may arise. 

  • Assisting in the set up of grant programs (editing and publishing of grant applications using local tools)
  • Being an active user and local expert in Hello Alice's Grants Management System (GMS)
  • Recruit and manage volunteer grant reviewers
  • Playing a critical role in review and selection of grant applicants (scheduling reviewer trainings, sorting and filtering applications based on eligibility criteria, assigning of applications to reviewers)
  • Conducting business verification checks and following up with grantees for required documents
  • Providing excellent customer service to applicants and grantees throughout the grants application process
  • Assisting in the administration of follow-up surveys, data collection and analysis
  • Assisting in the creation of data reports and meeting other grant-related reporting requirements
  • Maintaining accurate documentation (i.e. version control)

Required Skills and Experiences:

  • 4-5 years plus experience working in grants, gift, or scholarship administration, or equivalent level of experience in complex project management
  • Executive-level presence, communication skills, professionalism, and relationship management, with external and internal partners
  • Experience with grants management, project management and collaboration software (Notion, G Suite, JIRA, analytics, Fluxx, Slack, etc.)
  • Thrives in a fast-paced environment, is adaptable, versatile and detail-oriented
  • You have a heart for social impact and believe you can make a difference
