We are currently seeking a Senior Executive Assistant to join the Office of the CEO in Burnaby (hybrid).  Reporting to the Manager of the Office of the CEO, this person will work closely with the Chief Executive Officer (CEO) and directly work with members of his team to provide administrative, operational, and strategic support for the business. This role is for an entrepreneurial individual who has a customer service mindset and exceptional administrative and communication skills. 

Who you are:

A Senior Executive Assistant in OCEO works autonomously day-to-day with little guidance. Able to navigate complex situations and challenges, they are confident in navigating ambiguity and problem solving. Planning and leading special projects, a Senior EA owns their portfolio and is accountable to leading administrative excellence.  a Senior Executive Assistant is skilled at recognizing gaps, flagging issues, synthesizing information, and offering proactive support for the S-Team. This role builds strong interpersonal relationships with other departments and individuals across the organization, supporting stakeholder feedback, decision making, and collaboration. Excellent judgment is expected, as well as the ability to anticipate and communicate the perspectives and preferences of Executives they support. This role offers enhanced communications support and when requested, responding on behalf of Executives in their voice and tone. 

What your team does:

Office of the CEO manages a diverse and exciting portfolio of projects related to the CEO and Clio’s Senior Leadership Team. At the center of all company activity, this team works to facilitate conversations, remove roadblocks, and help strategically coordinate executive time to drive the growth of the business. This team has a deep knowledge of each department, works closely with senior leadership, drives cross-company collaborative projects, and manages high-profile events including the Clio Cloud Conference.

What you’ll work on:

  • Lead key work streams towards the planning, organization, and execution of high profile special projects and key organizational initiatives;
  • Proactively oversee and manage schedules, appointments, and travel arrangements for the Senior Leadership Team;
  • Proactively plan ahead of time, solve operational inefficiencies, recommend solutions, and synthesize context and information to filter to the S-Team
  • Facilitate and lead departmental event planning and execution; 
  • Manage meetings and agendas, take high quality notes, and track project planning outcomes against goals for the Senior Leadership Team;
  • Review, route, and respond to incoming e-mail correspondence and organizational requests on behalf of the Senior Leadership Team;
  • Establish administrative process improvements, organize, track and reconcile professional expenses, as well as help manage relevant budgets to outcomes;
  • Manage communications and liaise directly with external partners, vendors, and clients;
  • Support materials and presentation creation for the Senior Leadership Team;
  • Create and maintain internal documentation, knowledge management, and communications for the Office of the CEO;
  • Act as an exemplar of Clio’s values and culture, serving as an ambassador for the Senior Leadership Team both internally and externally;

What you may have:

  • 5+ years experience working as an executive assistant or an administrative support role within a hyper-growth organization;
  • A diploma or bachelor’s degree in a field that demonstrates strong critical thinking and writing skills;
  • 2-4 years of experience working in a customer facing or hospitality role;
  • Experience with heavy calendaring for multiple executives or teams;
  • Flawless written and verbal communication skills, even under pressure;
  • Strong interpersonal skills with a capacity to develop high levels of trust and work effectively with a spectrum of personalities;
  • Able to successfully manage multiple projects and priorities at once;
  • Skilled in moving quickly and make on-the-spot decisions with impeccable attention to detail;
  • Resourceful and confident leading the full planning and execution of projects;
  • Proficiency in Mac operating environments, Microsoft Office Suite, Slack, and Google Apps;
  • A high level of comfort with new technologies and tools.
