The Role

Glean are looking for an enthusiastic and highly organised Finance Administrator to join our rapidly growing team! We are looking for an expert multi-tasker with a keen eye for detail to join our Finance function, to provide a range of hands-on administration throughout the entirety of the sales process, all whilst keeping an eye out for opportunities to improve and optimise processes, to help the function run as seamlessly as possible, and to deliver best-in-class service to all customers of Glean. 

This opening will be suited to someone who can adapt to an ever-changing workload, and offers variation and challenge that you may not find with other administrative positions - if this sounds like it’s suited to the way you like to work, then you could be just the person we’re looking for! 

 

Key Responsibilities: 

Order Processing

Order processing is a fundamental part of the role. You will be responsible for managing customer orders and ensuring they are inputting accurately and efficiently and in line with our internal guidelines.

  • Processing orders and keeping the customer updated throughout the process
  • Support with purchases, providing quotes and answering enquiries 
  • Maintain and build strong relationships 

Customer Onboarding

  • CRM management to ensure accurate subscription information is maintained
  • Setting up institutions with the correct product and account, ensuring a seamless onboarding journey
  • Update and maintain vendor information
  • Providing quote approval 

Sales Ledger

  • Generating and issuing invoices 
  • Maintaining accurate billing information 
  • Receiving payments from customers in Xero and Chargebee

Credit Control

  • Ensure customers are paying on time by applying our robust debt collection process
  • Provide regular aged debtor reports to the business in a clear and punctual manner
  • Have excellent customer service and verbal communication skills when communicating with customers

Legal & compliance

  • Working closely with the Legal team in completing Vendor/Supplier paperwork
  • Issuing licence agreements and order confirmations
  • Regular audits to ensure accuracy
  • Adhoc legal administration

 

Person Requirements 

  • Administration and customer support experience - minimum of  1-2 years experience in a similar role 
  • Highly organised with excellent attention to detail 
  • Self-motivated, with the ability to proactively manage your own agenda and work with minimal supervision 
  • Highly adaptable and able to manage an ever-changing workload
  • Works effectively to deadlines and competently works on multiple tasks simultaneously 
  • Genuine desire to support the function with continuous improvement 
  • Experience with FinOps systems such as Chargebee, Xero and Hubspot are highly desirable

 

Salary & Benefits:

£20,000 - £25,000 dependent upon experience

🏢 Location: 

The Administrative Support Advisor role is a hybrid position. We have a beautiful office space in Leeds and we love it when we get together to collaborate in person.

  2. First stage interview with the hiring manager and another Glean colleague (1 hour) plus a 30 minute task
  3. The final stage is a 1 hour culture and values interview. You will be meeting with the hiring manager and one of the Executive Team.
