We are looking for an Accounts Payable & Media Reconciliation Specialist with a minimum of 2 years accounts payable experience in an advertising / media agency. This is an exciting and important role on our Finance team. This role has exposure to several areas of the organization: media reconciliation, expense system management, as well as general accounts payable and ad hoc assignments. 

The candidate must be proficient in Mediaocean, with exposure to media reconciliation as well as accounts payable including vendor setup and relationship management. Responsibilities

This position has responsibility for the media reconciliation management, partnering with the client account teams to identify, track, and resolve invoice discrepancies.  In addition, this role will have general accounts payable and related Accounting responsibilities. The role entails the following specific responsibilities:

  • Media Reconciliation
    • Evaluate data within Mediaocean to make sound decisions, produce reports, and assist with the analysis of media activity for internal and external customers  
    • Act as primary problem solver concerning invoice discrepancies and follow up for missing paperwork and authorizations
    • Make sound decisions about various client billing issues including budget reporting (plan vs. buy vs. invoice) discrepancy management, client invoicing and all related tasks
    • Maintain frequent and ongoing communication, keeping the Finance Director and larger Finance organization informed and up to date about critical issues within the media reconciliation process and make recommendations for their resolution
    • Maintain and develop relationships with numerous professionals, inside and outside the firm, including managers, vendors, and clients
    • Assist with bi-weekly payment run and in the month end accounting close

  • Accounts payable and accounting responsibilities
    • Efficiently process accounts payable; both for media invoices into Mediaocean, but also general agency invoices into our general ledger system (Netsuite)
    • Interact with vendors, follow up on outstanding invoices or payment discrepancies
    • Provide consistent updates/status to various department heads by pulling and maintaining an updated reports of outstanding or pending items
    • Responsible for managing deadlines and ensuring compliance with finance processes
    • Assist with bi-weekly payment run and the month end accounting close
    • Assist with annual audit and other reporting requirements (i.e. 1099 reporting)
    • Participate in other ad-hoc projects as needed

  • Expense management
    • Manage company’s expense platform (Expensify), including onboarding and educating employees, reviewing active/inactive account coding, reviewing active users, etc.
    • Responsible for ensuring all expense reports are following the company’s policies. Identify discrepancies and escalate if needed
    • Process all employees expense reports in a timely manner
    • Take ownership of credit card activities. Review and approve credit card reports within Expensify. Reconcile all activities at month end

Requirements

  • 2+ years experience in accounts payable and media reconciliation
  • Bachelor’s degree in Finance or Accounting
  • Prior media discrepancy management experience
  • Experience with utilizing Mediaocean (Prisma/Spectra)
  • A self-starter who exercises initiative and makes sound business judgments with outstanding follow-through skills
  • Must be a team player with strong communication skills
  • Ability to foster trusting relationships with teammates and clients
  • Open to receiving and providing thoughtful feedback
  • Ability to work independently and in a team environment, with many people at various levels of the organization
  • Ability to effectively prioritize tasks and be resourceful, flexible and quick to adapt in a fast-paced environment
  • Strong attention to detail, excellent organizational skills, and the ability to solve problems
  • Proficient in Microsoft Office Suite (Excel)
  • Familiarity with Google Suite and Slack
  • Experience in MediaOcean (Spectra/Prisma)
  • Experience with NetSuite is a plus

The anticipated annual salary range for this position is $75,000 - $90,000. Salary is determined based on a wide range of factors, including relevant experience, knowledge, skills, job duties, and geographic location.
