Generation is a nonprofit that transforms education to employment systems to prepare, place, and support people into life-changing careers that would otherwise be inaccessible. The global pandemic has led to an unprecedented surge in unemployment. Even before the pandemic, more than 75 million young adults were out of work globally, and three times as many were underemployed—and 375 million workers of all ages needed to learn new skills by 2030. At the same time, certain jobs remain in high-demand, and 40 percent of employers say a skills shortage leaves them with entry-level vacancies. To date, more than 38,000 people have graduated from Generation programs, which prepare them for meaningful careers in 14 countries. Generation works with more than 3,900 employer partners and many implementation partners and funders.

POSITION OVERVIEW

We are looking for a proactive, mission-driven and highly-organized Executive Assistant to manage the administrative and operational support for the Generation CEO. The Executive Assistant will play a critical role in developing and maintaining a system of prioritization for the CEO, complex calendar management and managing logistics for team engagement and experiences.

RESPONSIBILITIES

Administrative Support

  • Schedule and manage the day-to-day calendar for the CEO and use discretion to make sure the CEO's time is well-utilized
  • Assume central coordination for internal and external requests and proactively manage cadence for standing meetings (one-on-ones, team meetings, etc.)
  • Monitor CEO inbox to effectively track scheduling requests 
  • Create scheduling systems and processes to maximize productivity for the CEO
  • Exercise good judgment in assessing priorities and working with confidential information
  • Organize preparatory and logistical materials for meetings and events
  • Maintain meeting notes and records for internal leadership meetings and manage follow-up as necessary
  • Coordinate travel logistics including trip itineraries, flight bookings, hotel reservations, car services, meals and activity planning
  • Conserves executives’ time by reading, researching, and routing correspondence
  • Build and maintain strong relationships with internal team members and external stakeholders to ensure seamless communication
  • Track and submit monthly expense reports
  • Contributes to team effort by accomplishing related results as needed
  • Work closely with the Marketing & Communications team to write quotes
  • Manage special projects as assigned

Stakeholder Coordination 

  • Compile data and produce reports and presentations as assigned
  • Coordinate with Board of Directors; including Board Chair and Committee Chairs on meeting cadences and scheduling
  • Track and maintain board records and meeting minutes
  • Main point of contact for all board related scheduling 
  • Create and maintain annual 
  • Maintain Board of Directors contact information and update periodically as needed

ABOUT YOU

You have exemplary organizational skills with the ability to respond to rapidly changing priorities and are comfortable with an enterprising workplace environment. You move swiftly with planning, scheduling, and model tight efficiency and responsiveness. You are adaptable and consistent in discipline follow-through.

Specific requirements include, but are not limited to:

  • 4+ years of professional experience
  • Prior experience as an assistant to a senior leader, i.e., CEO, Executive Director, Vice President, etc. 
  • Fluent in Word, Excel, PowerPoint, and Salesforce 
  • Ethical, deeply trustworthy
  • Professional demeanor, excellent organizational and communication skills, thrives in teams of diverse people
  • Ability to multitask, prioritize, problem solve and manage time and stress well
  • Integrity, positive attitude, mission-driven, and self-directed with demonstrated passion for Generation's mission and commitment to working collaboratively
  • A growth mindset; self-reflective and open to frequent feedback from multiple stakeholders
